Sterling Crane is looking for a motivated and detail-oriented Branch Administrator who will perform a wide range of business support activities required for efficient branch operations in accordance with Standard Operating Procedures and customer requirements. Key activities of this role include quote and order management, invoicing and customer account management, billing and labor hours processing, customer service and vendor management.

Job Type: Permanent full-time salaried position.
Location : On-site in branch, at 66 Matheson Parkway, Winnipeg, MB R5R 0E2.
Working Hours : 8:00 AM to 5:00PM EST, Monday to Friday (40hours/week).
Travel Requirement : Some travel may be required, as needed by business (i.e. vacation coverage, project work with extended hours, etc.).
Key Responsibilities Reporting to the Branch Manager, the Branch Administrator :
- Act as Fleet Cost & Care (FCC) Facilitators within Branch Administrative processes.
- Oversee Administrative processes for the Winnipeg region as related to time entry and related application of union collective agreement clauses, onboarding/offboarding, various accounting duties including month-end reconciliation.
- Client invoicing inclusive of third-party portal billing, daily costing reporting and payment certifications and aging receivables management.
- Process supplier payables and ensure recharges are completed.
- Onboarding and offboarding employees and temporary workers, such as assisting in setting up new employee training, assisting with hardware/software requests, arranging safety orientation, review of employee handbooks.
- Booking hotels and travel arrangements for hourly workers.
- Some event management (employee events, venue booking, food).
- Act as the first line of customer service for Branch operations by answering phones, receive shipments and mail, coordinating with couriers, etc.
- Create and supply reports as necessary to Management staff.
- Document control, auditing and other administrative tasks as required.
Qualifications
- High School Diploma (or equivalent) required.
- 1-3 years administrative experience in related industry.
- Experience with unionized payroll environments, Fleet Cost & Care (FCC), or other ERP systems preferred.
- Strong Customer Service skills with the ability to speak fluently with customers under pressure.
- Solid work ethic and able to work additional hours as needed
- Proficiency inf Microsoft Excel, Microsoft Word, Microsoft Outlook, and Microsoft Power-Point.
- Ability to prioritize work and communicate effectively with multiple departments.
- Good communication skills; Must be comfortable engaging in a variety of different communicative modes (verbal, non-verbal, and written) and being attuned to others through strong active listening skills.
- Ability to assess multiple tasks and develop a plan to complete them in a timely manner.
