Position Overview

We are seeking experienced and highly capable Executive Assistants to join our Executive Office in North Vancouver. In this role, you will provide trusted, proactive, and confidential support to a Vice President, enabling the efficient and effective operation of their office and advancing divisional priorities.

This position delivers a wide range of complex administrative and coordination functions and requires sound judgment, discretion, and the ability to anticipate needs in a fast‑paced, dynamic environment. The successful candidate understands the critical role Executive Assistants play both as strategic partners to executives and as collaborative members of a high‑performing Executive Assistant team.

What You’ll Do

As an Executive Assistant, you will:

  • Proactively manage the Vice President’s calendar, meetings, correspondence, travel, and competing priorities to maximize efficiency and effectiveness
  • Act as a key internal and external liaison, including interactions with ministerial offices, Crown Corporation Secretariat, senior leaders, and other government officials
  • Prepare, edit, and finalize executive‑level correspondence, presentations, briefing materials, agendas, and meeting minutes
  • Coordinate and support Board of Directors and committee meetings, including ensuring materials meet required standards and timelines
  • Anticipate executive and divisional needs, taking independent action where appropriate and identifying opportunities to improve processes and outcomes
  • Research, prepare, consolidate, and maintain reports, statistics, and executive‑level documentation
  • Coordinate budgeting activities and track deliverables, deadlines, and divisional priorities
  • Provide guidance and direction to other administrative staff within the division, supporting consistency and collaboration
  • Partner closely with other Executive Assistants to provide seamless coverage and shared support across the Executive Office
  • May be required to travel with the Executive to offsite meetings and visits.

Position Requirements

The skills and attributes required to successfully fulfill these responsibilities include:

  • A minimum of 5–7 years of executive‑level administrative experience within a large, complex organization
  • Demonstrated ability to operate with a high degree of confidentiality, discretion, diplomacy, and professionalism
  • Strong written and verbal communication skills, with the ability to draft materials on behalf of senior leaders
  • Advanced proficiency in Microsoft Word, PowerPoint, and Excel
  • Excellent organizational, time‑management, and prioritization skills, with the ability to manage multiple demands simultaneously
  • Sound judgment, initiative, and the ability to anticipate needs and act independently
  • Experience supporting senior leadership, committees, or boards is considered an asset

Work Arrangement

This position follows a Hybrid-8 work model, requiring a minimum of 8 days in a 4‑week period in the North Vancouver head office (typically two days per week), with remaining days worked remotely. Flexibility is required to meet executive and business commitments that may require additional in‑office presence.
