Job Description
JOB SUMMARY
Provide clerical and administrative support to the Wastewater Operations and Maintenance Managers and Area team members. Prepare weekly/monthly time sensitive reports, as well as various documents such as letters, memoranda, minutes, correspondence, charts and tables from copy, tabulations and information. Answer telephone, maintain records and files. Process, post and encode information, related to time, attendance and staff, work orders, purchases, financial transactions, etc. Design and revise forms and spreadsheets.
QUALIFICATIONS
EDUCATION
- Completion of post-secondary certificate or diploma in office administration, business or equivalent or a combination of education, training, and experience.
KNOWLEDGE/EXPERIENCE
- Minimum of 1-2 years of administrative and/or program support experience.
- Knowledge of the automated Time & Attendance system for the encoding of employee time is preferred.
- Knowledge of general accounting principles and/or knowledge of an automated financial or ERP system.
- Knowledge of a computer maintenance management system is preferred.
- Must possess advanced knowledge and experience in Microsoft Office Suite programs (Word, Excel and Outlook) and databases.
- Knowledge of Transportation of Dangerous Goods (TDG), Workplace Hazardous Materials Information System (WHMIS), First Aid/CPR is preferred.
SKILLS
- Excellent verbal and written communication skills.
- Proficient ability to develop and produce correspondence, documents, reports, financial records and record retention is required.
- Must possess good keyboarding and computer skills.
- Must possess strong organizational skills and attention to detail.
- Must be able to work under pressure with high volume workload and meet required deadlines.
SPECIAL CONDITIONS
- In accordance with the Corporate Criminal Record Check Policy, the position requires the incumbent to undergo a Criminal Records Check and submit a Canadian Police Clearance Certificate.
- Must maintain ability to travel in a timely manner to other offices, work locations or sites as authorized by the Corporation for business reasons.
