About the role

Heritage Christian Online School (HCOS) is a thriving online learning community offering K-12 home and online education to students across the province. HCOS provides flexible solutions and programming tailored to every child’s learning journey.

HCOS has an opening for an Office Manager in the Education Assistant (EA) Office. The EA Office is a part of the Inclusive Education Team within HCOS that supports the team of Education Assistants, IE students and families across the school. This is a full-time, remote position, working 40 hours per week. The EA Office Manager ensures that all aspects of the working relationship between Education Assistants (EAs), students, families, teachers, administrators, and others involved with a student’s Individualized Education Plan (IEP) team are functioning in the best interests of HCOS students through the Inclusive Education (IE) Department.

Duties and Responsibilities

Foster and promote vision, processes, and culture within the EA Office team and with Education Assistants to align with HCOS values and objectives

Attend leadership meetings/retreats to represent department, advocate for staff and contribute to school leadership

Maintain appropriate collaboration and communication with other school departments and divisions

In collaboration with supervisor, manage and communicate department budgets including Community Connections EA budget and overall EA budget and resource needs.

Plan and deliver professional development workshops

Manage the EA Office team through hiring, training, scheduling, conducting staff evaluations, and supporting professional growth

Mentor and empower EA Office staff by providing the skills and knowledge needed to effectively support Education Assistants and students

Maintain and support EA-related database functions within FileMaker through regular meetings and system development projects

Ensure the accuracy of EA-related information and documentation in all systems

Manage administrative functions including semi-monthly and monthly payroll and approving FileMaker addendums

Support the recruitment, hiring, onboarding, and personnel management of EAs for IE student support, Community Connections, and Student Success Centre programs

Facilitate a sense of team, community, and value for EAs by organizing professional development and social events

Cultivate a supportive, reciprocal working relationship between EAs and teachers

Provide ongoing support for EAs through regular and ongoing communication

Qualifications

Demonstrates a commitment to, and a lifestyle reflective of, the KCCS Foundational Beliefs

Education Assistant or teaching experience

Leadership experience: collaborative, team-oriented, strong conflict resolution skills

Excellent organizational, documentation, and time management skills

Strong data entry and data management, detail-oriented, accurate

Proven experience in problem-solving, and analytical thinking

Excellent oral and written communication skills

Ability to be discreet and handle confidential information sensitively

Ability to work in multi-faceted team environments both remotely and in-person

Ability to manage varying workloads, value timely follow-up, and prioritize multiple tasks

Proactive, systems thinking, relationship, solution, and service-oriented

Proficient in Microsoft Office Suite (Excel, Word, and Outlook) and Google Workspace, managing databases, ability to learn computer programs quickly

Flexible attitude towards innovation and change

What we offer

Salary range: $77,186-$82,785 annually
