About Us
The Office of the Registrar supports students’ academic pursuits as well as Western’s strategic goals by delivering an array of integrated services in a professional environment, while maintaining the integrity and confidentiality of student financial information throughout the student lifecycle while providing exemplary customer service. Our mission is to support student and institutional success by appropriately assessing and billing tuition and student fees, collecting outstanding receivables, processing government loan and grant applications, as well as providing access to institutional financial aid through scholarships, awards, bursaries and the work-study bursary program.
Responsibilities
The Student Financial Services Officer will be a point person for student financials inquiries regarding fees, scholarships, and other financial aid. They will be responsible for performing collection activities on over $450 million in tuition and fees charged to students, will apply late payment charges when deadlines have not been met, will negotiate payment plans for extraordinary circumstances. The Officer will respond to student inquiries in person, by email, by telephone, by Salesforce, or by chat, depending on demand.
Qualifications Education:
- Undergraduate Degree, in Business Management/Administration preferred
Experience:
- 1 year of administrative experience in an office environment
- Experience previously working a Student Financial Services Officer
Skills, Abilities & Expertise:
- Adheres to the policies, procedures and documentation set by the Manager, Fees to ensure there is proper accounting and internal control over financial transactions conducted in the Student Financial Services. This will include
- Identifies and reports on issues with transactions that are collected in Student Financials and posted into the General Ledger
- Works to resolve student complaints and questions with respect to billings, charges, and collections
- Identifies undergraduate account receivables in arrears and will conduct debt collection activities consisting of email, phone call to support business critical revenue generating requirements. Takes action when accounts are past due, seals records, refers account to collection agency, etc. Applies additional charges to accounts (sealing fee and registration) or write off account balances if appropriate using appropriate Peoplesoft technology
- Reviews student refund requests and is responsible for the batch refund process and ensures that refunds are applicable based on course registration and payment methods
- Implements projects as needed in collaboration with the Manager, Fees
- Reviews accounts to ensure that any additional charges are applied to accounts as required (e.g. late registration, cancellation fees, sealing fees) to ensure that all appropriate revenues are collected by the University
- Provides back up to assist with the processing of electronic payment files, and cheque processing when the Payments and Projects Officer is absent
- Accountable for student accounts receivable collection. Takes action when accounts are past due, applies late payment fees, seals records and makes payment arrangements in recognition of extraordinary student circumstances.
- Primary contact for tuition collection from sponsoring agencies.
