Job Title: Accounts Payable Representative Job Description The Accounts Payable Representative manages the full accounts payable cycle, including invoicing, reconciliation, and responding to vendor and internal inquiries. This role supports the broader accounting function and assists with additional accounting duties as needed, contributing to accurate financial records and smooth payment processes. Responsibilities Review vendor statements to determine invoice status and communicate payment information internally and with external vendors. Verify the accuracy of entries, postings, and signature approvals prior to processing invoices. Enter, code, and reconcile invoices to the general ledger, identifying and resolving billing discrepancies or misapplied cash transactions. Receive and respond to phone calls from vendors and internal departments regarding invoice payment status. Review incoming vendor statements to ensure all outstanding invoices are recorded and paid, and request missing invoice copies from vendors when necessary. Set up and maintain accurate vendor records, including payment terms and other relevant details. Investigate payment issues while strictly following established accounts payable policies and procedures. Assist the accounting leadership team with additional accounting duties and projects as required. Collaborate with team members across the accounting department to support smooth month-end and year-end processes. Essential Skills Minimum of 5+ years of experience in accounts payable. Hands-on experience with ERP systems, with exposure to platforms such as SAP, Oracle, or NetSuite and the ability to support a transition to Oracle Fusion. Advanced Microsoft Excel skills, including the ability to use pivot tables and VLOOKUP functions. Strong knowledge of invoice processing, accounts payable, and accounts receivable practices. Ability to perform invoice reconciliation and work with inventory-related data. Attention to detail and accuracy in data entry, coding, and reconciliation. Strong verbal and written communication skills for interacting with vendors and internal stakeholders. Ability to follow and apply corporate accounts payable policies and procedures consistently. Additional Skills & Qualifications Diploma or degree in accounting is an asset. Collaborative mindset and ability to work effectively as a team player. Demonstrated eagerness to learn new systems, processes, and accounting concepts. Flexibility to support multiple areas within the accounting function as needed. Comfort working in a growing organization undergoing change, including system transitions and potential process improvements. Work Environment This is an on-site accounts payable role with working hours typically from 7:30 a.m. to 4:00 p.m. The position is part of an accounting team of approximately 19 people within a smaller organization that is in the process of being acquired by a larger multi-billion-dollar company, offering exposure to both a close-knit team environment and evolving corporate structures. The role currently reports into the finance leadership function and may be involved in future transitions, such as moving toward a hybrid work model and adopting Oracle Fusion as the primary ERP system. The environment is collaborative and fast-paced, with a focus on teamwork, flexibility, and continuous learning. Job Type & Location This is a Contract to Hire position based out of Calgary, AB. Pay and Benefits The pay range for this position is $32.69 - $34.61/hr. Workplace Type This is a fully onsite position in Calgary,AB.
