Qualifications

MINIMUM FORMAL EDUCATION/TRAINING REQUIRED:

  • Undergraduate degree in a related discipline. Bachelor’s degree from a recognized institution required
  • Knowledge of university regulations, programs and procedures as they relate to the function/program.
  • Training/experience in directly related activities preferred.

EXPERIENCE:

  • Three years of related experience working in a post-secondary environment.
  • Experience working in a problem-solving or assessment capacity required.
  • Advanced proficiency in Microsoft Excel, Access, and Word, email and internet explorer required.
  • Knowledge of University policies and procedures is preferred.
  • Experience working in a student-oriented office dealing with issues such as admission, academic advising, registration or counselling preferred.
  • Experience working with the public and in a very busy environment essential.
  • Experience in the functioning of the University's Radius, Slate and Aurora Student Record database required. Training in Argos and Crystal preferred.
  • An acceptable equivalent combination of education and experience may be considered.

Key responsibilities

Responsibilities:

  • The incumbent is responsible for the organization, planning, implementation, control, and evaluation of an efficient and comprehensive system of admission for a group of faculties. This requires a thorough understanding and coordination of the requirements and goals of these programs, the needs of students with different academic backgrounds and the established policies and regulations of the university.
  • The incumbent maintains continuous liaison with faculty representatives and program co-ordinators in the faculties of admission.
  • The incumbent evaluates Canadian, American, and international academic and related documents for authenticity, completeness, level of studies, equivalency, comparative level of excellence, and possible transfer credit. The incumbent is responsible for keeping abreast of matriculation requirements from each of the Canadian provinces and the requirements for international students.
  • The incumbent provides referrals to successful candidates on an ongoing basis regarding other student concerns such as registration procedures, orientation dates, housing and financial aid. The incumbent advises unsuccessful candidates, their parents, and guidance counsellors of the reasons for the refusal of admission and positive measures that can be taken to improve chances for admission for a future session while respecting the limitations of the FIPPA regulations.
  • The incumbent assesses academic credentials at the secondary and post-secondary levels; retrieves and records information on course equivalencies from other universities to assess the transferability of course work for students from outside institutions and to record this transfer credit to the satisfaction of the faculty concerned.
  • The incumbent ensures accuracy of current student records: recording data used in selection and admission, assigning transfer credit, and updating admissions status.
  • The incumbent is responsible for a profession-level standard of written and oral communication with applicants throughout the selection process using a variety of correspondence tools (individual letters, form and computer-generated letters, information packages), telephone, electronic mail, and in-person contacts. The incumbent will provide a high-level of customer service to applicants, being available through phone, e-mail and personal/in-office contacts to ensure that prospective students are well-informed. Letters or emails sent by the incumbent will be welcoming, well-written, informative and accurate. Applicants seeking one-on-one contact with the Admissions Officer by phone, email, or in-person will be welcomed to speak directly with the Admissions Officer. All applicants will be treated in a professional manner and kept apprised of program offerings in order to provide proper counselling to potential students.
  • The incumbent is responsible for the recording and follow-up of decisions reached by selection committees, and follows through with the process of advising students of admission decisions and handling requests for reconsideration. The incumbent creates and maintains a list of all confirmed students for those faculties which require an admission deposit; monitors those students who decline offers or change faculty preferences at critical times during the selection/registration period.
  • The incumbent is responsible for collecting and analysing statistical data and reports on applicants for admission and election projections and exchanging these reports with the relevant professional schools throughout Canada.
  • The incumbent is responsible for file maintenance, document collection and assessment, handling of routine updates and enquiries; assists in requesting and gathering supporting documentation as it applies to applicants, in determining outstanding credentials, and in advising applicants of the status of their applications; receives all applications, relevant correspondence, and documentation for students in specific categories.
  • Provides specific information in response to inquiries relating to admission requirements, policies, and selection procedures of faculties and schools of the University of Manitoba. While Student Recruitment provides some preliminary explanation and personalization of information according to such factors as student type, citizenship, academic background, time of the year, and nature of the inquiry, requests for more specific information will be referred to the Admissions Officer.
  • Provides information regarding English language proficiency requirements, and other tests required for admission to assigned faculties.
  • Must be able to prioritize work to meet a series of deadlines.
  • Participates in meetings within the office, either as part of regularly-scheduled office meetings or discussion/planning meetings. Attends selection and committee meetings for assigned faculties.
  • Works with the Admissions Chair or faculty designate in the review and revision of application material, including yearly reviews of the Applicant Bulletin, the Application Form, and any supplemental forms. This material must be an accurate reflection of Faculty and Senate-approved regulations and processes.
  • May be required to assist seasonal Junior Admissions Officers with training or expertise.
  • May be required to perform related duties not exceeding skills and capabilities as required.
