####About the position
The Executive Assistant reports to the President & Chief Executive Officer and is responsible for the effective operation of the office of the CEO. They also provide administrative support to the Chief Financial Officer. A critical success factor for this role is the proactive, thoughtful and thorough nature of administrative support. This role is accountable for ensuring CEO readiness for events and meetings, providing daily administrative support, arranging Executive travel, planning events, completing expenses and reports, building relationships with key internal/external contacts and managing other projects as assigned by the CEO or CFO. Some travel may be required. This role works in partnership with a second Executive Assistant, who provides support to the balance of the Executive team. The two Executive Assistants provide back up to each other, and at times, either one of the Executive Assistants may be the sole provider of core administrative support to the entire Executive team.
This position is currently located on site at our Kanata office. Our offices will be moving to a new location at the Ottawa International Airport later this year, and the successful candidate will transition to the new location once the move is complete.
Reporting to: This role will provide direct support to the CEO as well as other members of the executive team.

DUTIES AND RESPONSIBILITIES:
Must be able to perform, but not limited to the following duties and responsibilities:
- Provide senior administrative support and assistance to the President and CEO, along with the Chief Financial Officer and possibly other members of the Executive Team (as time permits).
- Scheduling meetings For CEO and CFO, including ensuring materials are prepared or available prior to meetings; raising issues with CEO/CFO for action/follow up as required
- Plan and coordinate CEO & CFO travel (may plan travel for other Executives as required)
- Planning events (such as CEO Town Hall tours) and meetings
- Support CEO in social media activities
- Researching data to prepare documents for review and presentation by boards of directors, committees, and executive team
- Communicate effectively with Key stakeholders, including ownership, government, industry leaders, sister companies, all company departments and levels of employees
- Manage the receipt of information from a variety of sources, action as required
- Maintain records and filing systems (electronic and paper-based) along with an effective BF system
- Coordinate and prepare for meetings including minute taking as required
- Assist in the development and implementation of a wide variety of special projects
- Preparing reports, memos, invoices letters, and other documents; draft presentations
- Processing executive expense reports
- Filing and retrieving corporate records, documents, and reports.
- Accurately recording minutes from meetings (as requested).
- Using various software, including word processing, spreadsheets, databases, Microsoft tools including Outlook, and presentation software.
- Administrative and employee engagement projects as assigned
- Liaise with internal/external legal counsel as required
- Travel may be required on occasion
- This position requires a commitment to complete confidentiality given that it will be exposed to sensitive information on a daily basis.
- Other duties as assigned
SKILLS AND QUALIFICATIONS:
Include, but not limited to, the following minimum skills and qualifications:
- Two years Post Secondary education in a related field or significant related experience
- Five (5) years of previous experience
- Complete proficiency in Word, Excel, PowerPoint
- Solid business writing and proofreading skills
- Superior and proven organizational and interpersonal skills
- Demonstrated ability to successfully manage multiple projects with minimum supervision
- Demonstrated ability to be proactive and seek needed clarity
- Demonstrated ability to recognize and organize priorities
- Excellent communication skills
- Adaptability, flexibility and a sense of humor a must
- Proven customer service skills
- Experience successfully managing complex travel itineraries
- Understanding of the Canadian aviation industry an asset
- Understanding of the political and social climate in Canada’s North an asset
- Ability to communicate in Inuktut a definite asset
- Social media savy and ability to interact online
- Ability to obtain and retain a Restricted Area Pass in accordance with the Airport Restricted Area Access Clearance Program regulated by Transport Canada
