LOCATION

Located approximately 100 kilometres east of Toronto, NHH delivers a broad range of acute, post-acute, outpatient and diagnostic services. Acute services include emergency and intensive care, medical/surgical care, obstetrical care and palliative care. Post-acute specialty services (PASS) include restorative care and rehabilitation. Mental health care, cancer and supportive care, dialysis and other ambulatory care clinics are offered on an outpatient basis through partnerships with regional centres and nearby specialists. NHH offers a full range of diagnostic services, including magnetic resonance imaging (MRI), computed tomography (CT) and mammography. The hospital serves the catchment area of west Northumberland County. A mixed urban and rural population of approximately 67,000 residents, west Northumberland comprises the Town of Cobourg, the Municipality of Port Hope, Alderville First Nation and the townships of Hamilton, Cramahe and Alnwick/Haldimand. ROLE OVERVIEW

Reporting to the Manager, Human Resources, the HR and Staffing Assistant is a member of a multidisciplinary team that is responsible for the coordination of staff scheduling for the centralized department portfolio and to provide administrative support to the HR division. These services are performed in accordance with the strategic plan, philosophy, and values of NHH and include analysis and implementation of regional integration strategies among other hospitals, health care agencies and potential partners in the public or private sectors along with following legislation including specific regulations related to the role.

  • Responsible for the coordination of staffing levels for the centralized department portfolio according to the master timesheets and under the direction of department manager/director and for calling replacement/relief staff according to unit guidelines.
  • Responsible for building monthly schedules for the centralized department portfolio.
  • Responsible for carrying out administrative tasks within the department, ensuring employee information is kept up to date, processing employment changes, completing required paperwork and updating systems accordingly
  • Reviewing and processing vacation requests in line with leadership approvals.
  • Providing administrative support to the HR Division including assisting with the recruitment process, generating reports, letters, minute taking, scheduling meetings, and assisting with other projects as needed.
  • Acts as the primary point of contact for staff and management relating to any/all scheduling enquiries, ensuring response in a timely manner, demonstrating working knowledge of Collective Agreements and Employment Standards Act in response.
  • Responsible for issuing and maintaining ID and parking badges for all internal and external key stakeholders in line with organizational policy and procedures.
  • Meet legislative, corporation and departmental requirements for Occupational Health and Safety, Quality Assurance, Accreditation and Risk Management.
  • Follows safe and healthy work practices whilst maintaining a safe and healthy work environment through attendance at education programs, use of established reporting mechanisms for injuries, illnesses and hazards, and adherence to health and safety related policies and procedures.
  • Performs all other functions as assigned.

HOURS OF WORK

NHH's Staffing Office is open week days from 6am to 4pm and weekends until 2pm. In this position, you’ll work one of four weekends from 6am to 2pm, along with at least two weekday shifts, which can be scheduled either from 6am to 2pm or 8am to 4pm.

QUALIFICATIONS/REQUIREMENTS

  • Diploma in Human Resource Management, Business Administration, or equivalent post secondary education.
  • Minimum one (1) year experience in a scheduling, business administrative or human resources environment.
  • Previous experience and working knowledge with the application of collective agreements specifically pertaining to staffing and scheduling language.
  • Previous experience and working knowledge of scheduling systems, HR information systems and with data entry.
  • Strong understanding of recruitment and selection processes.

  • Ability to respond to many simultaneous/competing demands from multiple stakeholders.
  • Computer/technical proficiency in Microsoft Office, Scheduling Systems, HR Information Systems, and Payroll Systems.
  • Demonstrated compliance with all Occupational Health and Safety Legislation and Infection Prevention and Control practices.
  • Flexible approach to work, resilience, and ability to exemplify the values of NHH.
  • Previous experience in a unionized, healthcare and/or non-profit environment an asset.

EMPLOYMENT REQUIREMENTS

Successful applicants are required provide a satisfactory vulnerable sector criminal reference check, that was complete less than one year from the date of hire. This requirement must be met within the first sixty (60) days of employment.

Additionally, to the above, successful applicants are also required to complete the Health Care Worker Health review process which includes providing an up-to-date immunization record to ensure compliance with the Ontario Hospital Association Communicable Diseases Surveillance Protocols within the first thirty (30) days of employment. Northumberland Hills Hospital operates a mandatory COVID-19 vaccination policy for all staff.
