Position Summary Facilities Coordinator The Facilities Coordinator serves as the central coordination point for Facilities operations across all NYGH sites. The role manages the flow of work orders, ensures CMMS data accuracy, and coordinates maintenance scheduling with trades staff, vendors, and internal departments. Additionally, the Coordinator supports operational projects, contractor compliance processes, digital workflow tools, and sustainability reporting to ensure efficient, safe, and consistent facilities operations.

On a practical level, you will

  • Coordinate, prioritize, and assign work orders based on operational impact, resource availability, and site needs.
  • Ensure CMMS data accuracy by validating asset information, Preventive Maintenance (PM) frequencies, and workflow routing.
  • Coordinate with trades staff, managers, and supervisors to adjust schedules and resolve conflicts.
  • Generate operational dashboards and monthly reports to support planning and cross-departmental coordination.
  • Coordinate vendor and contractor activities, ensuring alignment with internal schedules and operational constraints.
  • Track and verify contractor documentation (WSIB, COI, safety) to ensure compliance before work begins.
  • Coordinate delivery schedules and material requirements across sites.
  • Serve as the operational link between contractors, trades, and clinical areas.
  • Coordinate small-scale operational projects such as repairs, minor renovations, and equipment replacements.
  • Track project milestones and proactively identify scheduling or resource conflicts.
  • Support site readiness and clinical coordination to minimize operational disruption.
  • Coordinate sustainability initiative tracking, energy action items, and post-project follow-ups.
  • Support data collection and reporting related to environmental KPIs.
  • Communicate sustainability actions and updates to staff.
  • Oversee daily coordination of digital facility tools, including workflows, automations, and reporting functions.
  • Work with IT and Facilities teams to troubleshoot system issues and improve workflow integration.
  • Ensure data consistency across CMMS, procurement platforms, and contractor systems.

Qualifications

  • Completion of a post-secondary diploma or degree in Facility Management, Engineering, Building Systems, or a related field; or equivalent combination of education and experience.
  • Minimum 2 years of experience in Facilities Management, preferably in a hospital environment with unionized staff.
  • Minimum 1 year of experience coordinating multi-trade activities and vendor compliance.
  • Knowledge of CMMS systems and digital workflow tools.
  • Strong project coordination and scheduling skills.
  • Knowledge of sustainability practices and energy-saving initiatives.
  • Excellent communication and organizational skills.
  • Strong data management and reporting capabilities.
