We are seeking a highly organized and technically proficient to join our team in the position of Disclosure Clerk. This position is one of three Disclosure Clerks who play a critical role in supporting criminal investigations specifically by managing, preparing, submitting and safeguarding various forms of digital evidence, including digital evidence obtained from body-worn camera (BWC) footage.

About the Role

Reporting to the Business Systems Manager, the Disclosure Clerk is responsible for the full lifecycle of digital evidence, including the coordination, analysis, redaction, preparation, and disclosure of digital evidence and related evidentiary materials for Crown Counsel. This role requires meticulous attention to detail, a commitment to confidentiality, sound understanding of the judicial system and the ability to navigate complex technical and legislative requirements. You will work closely with investigators, Crown Counsel, and other justice system partners to ensure disclosure packages are complete, accurate, and fully compliant with policy, procedure, and legislation.

  • Manages and organizes digital evidence from digital sources including body worn cameras using the Digital Evidence Management System (DEMS).
  • Reviews, vets, redacts, and prepares digital files including BWC footage for electronic disclosure.
  • In accordance with established standards and procedures, assembles complete and accurate Reports to Crown Counsel (RTCC),
  • Maintains consistent file structures and naming conventions to support disclosure requirements.
  • Conducts transcription of audio and video files into court-ready formats.
  • Troubleshoots and resolves technical issues related to digital evidence systems and software.
  • Ensures compliance with privacy legislation, evidence-handling protocols, retention schedules, and security requirements.
  • Provides guidance and expertise in the utilization of related training, guidance, and support to staff regarding disclosure processes and digital-evidence procedures.
  • Maintains accurate logs, documentation, audit records, and quality assurance checks.
  • Provides coverage and support to other Disclosure Clerks as required.
  • Performs related duties as required.

Qualifications

  • Grade 12 completion, supplemented by recent training related to the criminal justice system.
  • 3–5 years of related disclosure experience with experience managing digital evidence in various formats, including formats obtained from body worn cameras. Ideally, your experience includes working within policing and/or legal services.
  • Strong knowledge of disclosure practices, records management, and criminal justice system and its processes.
  • You have a sound understanding of the technology used in the work and have the ability to resolve technological issues as they arise.
  • Demonstrated proficiency with various software applications including DEMS, RMS, CPIC, Adobe Acrobat, and the MS Office suite.
  • Exceptional attention to detail with the ability to identify discrepancies and ensure accuracy.
  • Strong organizational, multitasking, and time-management skills.
  • Demonstrated ability to provided training to others, both individually and in a classroom setting.
  • Ability to handle sensitive or graphic material with professionalism and resilience.
  • Excellent interpersonal skills and the ability to communicate tactfully and effectively, orally and in writing, in English.
  • Ability to establish and maintain effective and collegial working relationships with internal and external contacts.
  • Strong problem solving and conflict resolution skills.
