About Arts Umbrella
Arts Umbrella is where young artists ages 2–22 cultivate their creativity in Art, Design, Dance, Theatre, Music, and Film. As a non-profit organization for arts education, we believe that art is powerful. Powerful enough to change a child’s life in incredible ways. When young people connect with the arts, they gain self-confidence, develop self-discipline, and discover creative expression—qualities they carry with them for life. Arts Umbrella has two locations in Vancouver and Surrey, as well as donor-funded programs at schools, community centers, neighborhood houses, and healthcare facilities across Metro Vancouver. We serve nearly 20,000 young people every year, with 77% participating in donor-funded programs.

The Opportunity
Arts Umbrella is seeking a Program Assistant, Dance to support the day-to-day administrative and operational needs of the Dance Department.
Working closely with the Artistic Director, this role helps coordinate meetings, communications, and program logistics while supporting the smooth delivery of departmental activities. The Program Assistant plays an important role in helping keep programs organized and running smoothly by supporting faculty, students, guest instructors, and departmental processes. This is a great opportunity for someone who enjoys working in a dynamic arts education environment and is highly organized, collaborative, and detail oriented.
In this role you will:

Support the Artistic Director with scheduling, meetings, and communications with students, parents, faculty, and guest instructors

Assist with program administration, including tracking program information, preparing reports, and maintaining records

Help organize department meetings, including preparing agendas and documenting meeting minutes

Provide logistical support for student meetings, faculty meetings, and departmental events

Assist with communications and coordination with guest instructors and external partners

Support documentation processes related to coursework, program activities, and program evaluation
-
Assist with preparing written materials such as correspondence and recommendation letters
-
Help gather and organize information to support teacher training and curriculum development initiatives
Here is what you bring

1+ year of experience in administration, program coordination, or operations support

Strong organizational and time management skills

Excellent communication and interpersonal skills

Strong attention to detail and ability to maintain organized records

Comfortable supporting meetings and preparing documentation

Proficiency with common office tools such as email, word processing, and spreadsheets
-
Interest in or familiarity with dance, performing arts, or arts education is considered an asset
