About the role

Job Title: Project Coordinator

Reports To: Site Superintendent

Department: Construction

Position Summary

Provide project based and administrative support to the Special Projects, Construction department.

Responsibilities:

  • Involvement with the overall architectural or civil design of the project;
  • Assist in coordinating all tenant aspects of the project from drawing coordination and sending Welcome Package to assist Tenants in preparing their drawings for Permit and Landlord review;
  • Review Tenant drawings and provide appropriate comments;
  • Coordinate the contract bidding process in accordance with Company policies and procedures;
  • Assist in preparing bid summaries and preparing approval documents;
  • Assist in carrying out all project’s contract administration in accordance with Company policies and procedures;
  • Monitor project costs through change order and contract adjustment procedures;
  • Assists in developing recovery strategy when project schedule or budget are in jeopardy;
  • Assist in review and update schedule, cost forecasts and cash flow requirements with the Special Projects PMs and Director, Special Projects biweekly for monthly reports to VP of Construction;
  • Assist in preparing and processing general contractor progress draws, consultants and suppliers’ invoices in a timely manner;
  • Work with accounting department to ensure proper accounting coding, payments of progress draws and recoverable costs are submitted and paid in a timely manner;
  • Establish effective working relationship with each tenant’s construction manager;
  • Start to develop and maintain relationship with architects and engineers;
  • Assist in Tenant Coordination duties as required;
  • Complete project closeout documentation as required for archiving or transfer to Operations;
  • Follow-up on deficiencies in a timely manner;
  • General and administrative duties as required;
  • Perform additional assignments/special projects per supervisor’s direction.

Academic/Professional Requirements:

  • Architectural or Engineering Degree is preferred. May consider candidates with a Degree in Construction Management;
  • Additional designation and/or certification an asset.

Required Skills/Experience:

  • Minimum 1 year post graduation experience in a related profession;
  • Understanding of construction drawings and specifications;
  • Knowledge of construction and technology methods;
  • Versed in the application of building codes;
  • Ability to prioritize workload;
  • Excellent oral and written communication skills and must possess the ability to effectively communicate across all levels of management within the Company as well as outside the organization;
  • Proficient in MS Word, Project and Excel.
