Field Services Administrator 2 - Surrey Construction

Number of positions: 1 Job Location: Surrey Construction

Employment type: Temporary Region: Lower Mainland

Hours of work: Full-time (37.5 hrs/wk) Flexible Work Role: Resident

Annual salary: $ 52,700.00 - 57,800.00

What you'll do

  • Organizes, schedules and/or expedites work orders and Local Work and Unit Price Contracts via manual and other pre-

scheduling/work management systems and tools; arranges for on site meetings with engineering design, service planning

staff and customers; routes and remarks maintenance/street light or other orders to BC Hydro personnel, contractors or

other utilities; arranges for various civil work and other ancillary support services; assigns bill book number coding to project

work orders.

  • Prepares and administers local work contracts/orders and third party billings; checks and enters purchase/payment data;

checks and processes related invoices; sets up and codes work orders with Field Services billing codes; closes work

orders; prepares accounting entries to correct and/or adjust incorrect entries; may prepare and administer tenders,

specifications, drawings and administer/process related purchase orders, invoices and documentation; prepares a variety of

ad hoc reports using various applications.

  • Performs administrative support duties related to Field Services (FS) installation and maintenance related work such as:

gathering, compiling, routing and/or revising spreadsheets/circuit revisions and drawings; monitoring and updating of

maintenance and other recurring work and schedules responding and/or referring external calls regarding system problems

and/or complaints; preparing, summarizing, updating and/or correcting various records, reports, costs and discrepancies;

providing billing assistance; processing local purchase orders; checking packing slips against invoices for accuracy;

comparing month end invoices to registers; checking purchasing card statements for accuracy; preparing meeting agendas,

minutes, records, files and reports.

  • Reviews and assembles various local contract work tender packages such as pole renewals and other maintenance

related contracts; schedules pre-jobs and liaises with other utilities such as Telus and third party contacts; prepares and

inputs contract requisitions/orders into spreadsheets and other applications.

  • Discusses and follows up on material availability and delivery issues with Material Management Business Unit (MMBU)

personnel, internal or external crews and contractors; may issue material requests and other inventory related information

to crews/contractors; may follow up and resolves material variances have been charged and/or credited back to work orders

with MMBU staff.

  • Liaises with the trouble centre on crew availability and related queries; ensures arrangements for notifying customers and

BC Hydro personnel of outages; refers more complex work or emergencies to manager, nearby crews or Emergency

Services; liaises with and/or redirects electrical system incidents to trouble centre personnel for action; may relay

information or dispatch work orders to crews via various communication systems; occasionally required to monitor time

limits according to single person crew procedures and follow up with crew on exceeded time limits; may provide assistance

in organizing and assigning work during emergency conditions.

  • Communicates verbally and in writing with external and internal correspondents, responding directly or referring to others

as appropriate. May be required to monitor and prioritize manager’s email, responding directly or referring to others as

appropriate and bringing issues of importance to manager’s attention for action.

  • Performs all of the same functions as the Field Services Administrator 1 job as required; provides technical guidance on

various work processes to the FSA1 job and others as required.

  • Performs minor duties related to the above duties that do not affect the rating of the job.

What you bring

  • Office procedures, practices, routines, filing systems document processing, report formatting and preparation, personal

computer and related application program operation, reception and telephone answering techniques and knowledge are

typically acquired through graduation from High School plus completion of ‘Overview of Electrical Utility Operations’ (offered

through EITI or an equivalent institution) and in house BC Hydro courses or equivalent in personal computer and related

word processing/spreadsheet/presentation/database applications, People Soft Financials, Expenses, Passport

Management, Design, Contract Requisition, Click Schedule, basic DAD, Power ON, Service link, BPR, Gateway Web, CCS,

MS Projects, various reporting, maintenance tracking, internet browsers, e-mail, messaging and other related applications

and/or security systems.

  • A minimum of 1 year of general clerical and administrative experience including demonstrated proficiency with PC

operation and Field Services operations.

  • Satisfactory performance on this job requires approximately 6 additional months to acquire the knowledge and skills

necessary to perform the full scope of the job. Well developed oral, written and interpersonal communication and

organization skills.
