Job summary
This position will be responsible for providing administrative and clerical support to our intellectual property (IP) practice group. As we have a multi-office team, we are open to candidates who may work at any of our offices.
Responsibilities include:
- Paying fees with Canadian Intellectual Property Office (CIPO), reviewing incoming correspondence from CIPO and foreign associates and assisting in preparing reporting letters to clients
- Managing trademark dockets including docket deadlines and maintaining the integrity of docket data
- Initiating conflict checks, confirming client identification, opening and closing client matters
- Processing cash receipts and expenses
- Assisting with reconciliation of the firm’s CIPO IP deposit account, providing back up material and resolving any refund/debit issues with CIPO
- Providing general administration support for the IP Group
- Providing coverage and assistance to the Trademark Paralegals
- Processing payment of associate invoices and insertion of corresponding tariff time code entry as required
- Responding to general inquiries from callers and visiting clients, redirecting calls or providing routine information
- Completing status checks
- Coordinating transfers of files and appointment of MLT Aikins as agent
- File opening and data validation in all operational programs and databases
Qualifications include:
- Graduate of a recognized administrative program (equivalencies may be considered)
- Three years of administrative experience
- Superior computer, proofreading and time management skills
- Excellent interpersonal and communication skills
- A client focused approach and commitment to providing exceptional service to internal and external clients
- Ability to work independently, follow instructions with minimum supervision and be able to thrive in a fast-paced, professional team environment.
