Boardwalk’s Contracts & Inspections team is seeking a detail oriented, highly organized Procurement Administrator who enjoys structure, spreadsheets, and helping a close knit team run smoothly. In this role you’ll prepare RFQs from templates, evaluate vendor quotes, create POs, assist with invoice routing, and maintain clean, current records. You’ll learn our in house systems, and use modern e signature tools (PandaDoc or equivalent, e.g., DocuSign) to move contracts forward. If you love bringing order to moving parts and learning new tools quickly, this is the job for you.
Key Responsibilities:
- RFQ & Quote Evaluation
- Draft RFQs from standard templates, distribute to approved vendors, track timelines and responses.
- Compile and evaluate quotes using comparison sheets (price, scope, lead times, service levels); flag variances and risks; prepare a concise award recommendation draft for review by stakeholders
- Purchase Orders & Invoices
- Create/update POs with correct coding, delivery details, and attachments; maintain audit ready PO files.
- Assist with the invoice queue (matching, comments, routing for approval); resolve discrepancies.
- Contracts & Signatures
- Prepare contract packets and coordinate e signatures via PandaDoc; track status to completion.
- Work with in house counsel and team leads to incorporate approved changes
- Records, Reporting & Compliance
- Maintain accurate supplier and contract records in SharePoint; update trackers (expiries, certificates, SLAs).
- Run standard reports; review and summarize basic findings; keep team dashboards current.
- Adhere to industry regulations and compliance requirements.
- Service & Administration
- Monitor shared mailboxes; acknowledge/triage requests; escalate to the appropriate owner as needed.
- Provide superior customer service to internal and external stakeholders
- Liaise with other Boardwalk teams to provide project assistance
- Process Adherence & Continuous Improvement
- Follow SOPs/manuals; suggest small improvements that enhance accuracy, speed, or clarity.
- Administrate annual capital and operational budgets.
- Identify cost-saving opportunities and implement strategies to optimize procurement processes.
- Exercise independent judgement within Boardwalk’s procurement framework.
Qualifications:
- Must have:
- Post secondary education OR equivalent relevant experience.
- Proficiency with MS Office, especially Excel (sorting/filtering, basic formulas, formatting, pivot tables).
- Strong written and verbal communication; meticulous attention to detail; dependable organisation and follow through.
- Comfort learning new software (training provided for in-house applications).
- Service oriented mindset aligned with Boardwalk values.
- Nice to have:
- Experience in procurement, contract administration, AP, or project coordination OR familiarity with facilities management processes (e.g., vendor coordination, preventive maintenance scheduling).
- Basic knowledge of life safety systems (fire alarms, sprinklers, emergency lighting) and related compliance requirements.
- Experience working in a multi-family residential environment or supporting property operations.
- Intermediate Excel (lookups, pivots) and comfort reviewing vendor quotes and summary reports.
- Experience with e signature platforms (PandaDoc, DocuSign) and SharePoint.
- Basic French language proficiency
