About the role

Job Description Metrolinx is connecting communities across the Greater Golden Horseshoe. Metrolinx operates GO Transit and UP Express, as well as the PRESTO fare payment system. We are also building new and improved rapid transit, including GO Expansion, Light Rail Transit routes, and major expansions to Toronto’s subway system, to get people where they need to go, better, faster and easier. Metrolinx is an agency of the Government of Ontario.

Our Legal & Corporate Commercial Services is looking for an Administrative Assistant for the Legal & Corporate Commercial Services office to provide day-to-day operational and support the team by performing a wide range of administrative support functions and coordinating day-to-day projects.

What will I be doing?

  • Prepares packages for internal and external mail and courier services distribution
  • Arranges boardroom bookings and teleconferences involving multiple internal and external participants
  • Acts as the liaison with property management coordinating work order requests
  • Coordinates office supplies and requisitions supplies for replacement
  • Maintains and updates electronic files and office templates (e.g., staff lists, floor plans, etc.)
  • Assembles correspondences, and meeting materials and packages for distribution to senior management
  • Composes and/or edits correspondences for final signature through the Director’s Office
  • Works with multiple stakeholders (internal and external) on a variety of tasks
  • Provide backup administrative support to the Executive Assistant

What Skills and Qualifications Do I Need?

  • Completion of secondary school, plus additional related courses/training – or a combination of education, training and experience deemed equivalent
  • Demonstrated years of experience providing administrative support to a busy office environment
  • Independent and flexibility to prioritize workloads and manage multiple tasks against tight deadlines
  • Experience with computer applications (e.g., MS Office Suite (Outlook, Word, Excel, PowerPoint, Visio, etc.), and other application software
  • Organizational skills and attention to detail to organize the assigned office in compliance with corporate administrative policies and processes
  • Interpersonal, customer service, and excellent oral/written communication skills to respond to or direct enquiries, interact with and provide support to all staff levels, and to generate a variety of correspondence, reports and documents
  • Litigation experience is an asset
