Your Opportunity
Reporting to the to the Senior Administration Coordinator, the Administrative Assistant plays a key role in ensuring the smooth and efficient operation of the day-to-day administrative functions of the Executive Leadership Office. This position is ideal for an organized, detail-oriented professional who is committed to service excellence and thrives in a high-level, fast-paced environment.
The Administrative Assistant will support senior leadership by managing calendars, coordinating meetings, handling correspondence, preparing documents, and serving as a primary point of contact for general inquiries. Strong communication skills, discretion, and the ability to manage multiple priorities are essential for success.
Key Responsibilities:
- Provide comprehensive administrative support to the Executive Leadership Office.
- Act as a point of contact for internal and external stakeholders, handling inquiries and directing communications as appropriate.
- Ensure confidentiality and professionalism in handling sensitive information and communications.
- Liaise with departments and administrative staff across the institution to support cross-functional coordination.
- Prepare, proofread, and format a variety of documents including reports, presentations, correspondence, and meeting materials.
- Organize and coordinate meetings, events, and video conferences, including logistics, agendas, minutes, and follow-up actions.
- Maintain organized filing systems (physical and digital) to ensure efficient retrieval and record-keeping.
Qualifications:
- Degree or diploma from an accredited post-secondary institution. Equivalent education and experience may be considered.
- A minimum of three (3) years experience in a fast paced, administrative support role, preferably in a post-secondary or educational setting.
- Experience / knowledge of Salesforce, Blackbaud Raiser’s Edge & Jotform would be considered an asset.
- Proficiency with MS Office Suite products (Word, Excel, PowerPoint).
- Proficiency with collaboration software (Zoom & Teams)
- Excellent time management skills and a demonstrated ability to organize and prioritize multiple tasks and meet competing deadlines in a fast-paced environment.
- Exceptional oral and written communication skills and ability to interact positively and calmly with staff, faculty, students and the general public in stressful / critical situations.
- Demonstrated ability to problem solve effectively and use good judgement in all decisions.
- A high level of initiative to meet the needs of the position, make recommendations for changes / service improvements with limited supervision.
Compensation:
Salary commensurate with experience: $55,000 - $60,000 per year.
This is a full-time, permanent position. Frequent work outside of standard office hours required to meet the needs of the office.
