Position S ummary: The Office Administrator is responsible for a wide variety of administrative duties in support of the Operations team. The individual is also required to maintain confidentiality and professionally interact with employees, management and the public.

Key Responsibilities:
- Provide direct administrative and office management support to all members of the operations management team, as directed
- Responsible for quarter end count for office supplies including and not limited to letter head, envelopes and toner cartridges
- Prepare travel schedules, book travel arrangements, and make reservations for Operations employees
- Coordinate logistics for on-site, or off-site, meetings including beverages, order luncheon items, if requested by the leadership team
- Receive and screen all inbound telephone calls, and visitors for the leadership team
- Refer and/or redirect calls, or visitors as required
- Troubleshoot and/or escalate office administration issues
- Receive incoming mail and distribute
- Negotiations and enforcement of contracted items specific to the building maintenance and supplies for the distribution center
- Complete expense reports, process invoices and purchase orders, and other related duties
- Seek guidance for all key decisions which will result in a significant financial spend or operational impact
- Present a positive and professional image to all visitors, suppliers, inquiries, and other persons
- Complete and keep up to date on all Health & Safety, Food Safety and Quality Assurance training pertinent to the role
- Responsible for reporting any and all concerns related to the Health & Safety, safe handling and integrity of all items received, stored and distributed by Flanagan Foodservice
- Adherence to all Health & Safety, Food Safety and WHMIS practices
- Follow safe and efficient work procedures to meet customer requirements including maintaining a clean and safe environment
- Perform other duties as required or requested.
Required Qualifications:
- Secondary School Diploma along with Post-Secondary Diploma in Business Administration, or relevant discipline, preferred
- 3-5 years' experience in an Administrative role preferred
- Strong knowledge of office procedures and practices
- Proficient with Microsoft Office Suite (Outlook, Word, Excel, Power Point)
- Resourceful and flexible
- Proven organizational and time management skills
- Quality Orientation and attention to detail
- Demonstrated Problem Solving Skills
- Accountability and Dependability
- Strong Research and Analysis Skills
- Demonstrated Ethics, Integrity and Confidentiality
