About the role
Bring structure, clarity, and impact to our clinic operations.
At Passion Dental Group (PDG), we’re more than a network of dental practices — we’re a community built on trust, care, and collaboration. We’re passionate about supporting our patients and our people, ensuring that every decision we make leads to better outcomes and stronger connections.
We’re looking for a Clinic Finance Manager who’s ready to take ownership of the financial integrity and performance of our clinic network. This role bridges Operations and Finance, ensuring accuracy, compliance, and insight across billing, reconciliation, and accounts receivable (AR) processes.
Reporting jointly to the VP, Operations & Clinics and the Controller, this position plays a critical role in building scalable financial systems and maintaining transparency across all PDG locations.
If you’re detail-oriented, analytical, and thrive in a fast-paced, multi-site environment — this is your opportunity to make a meaningful impact in a growing organization that values integrity, teamwork, and accountability.
What You’ll Do
Reconciliation & Financial Compliance
- Oversee day-end, week-end, and month-end reconciliation processes across all clinics.
- Verify payment accuracy across insurance, patient, and third-party funding sources.
- Investigate and resolve discrepancies in the Practice Management System (PMS) or related tools.
- Partner with Clinic Managers and Regional Directors to ensure adherence to standardized reconciliation timelines.
- Lead reviews on delayed or rejected claims and ensure proper resolution and documentation.
- Maintain strong internal controls and audit-ready documentation.
Accounts Receivable (AR) Oversight
- Manage AR aging reports and collaborate with clinics to reduce outstanding balances.
- Track and analyze key metrics — including DSO, collection rates, and bad debt ratios.
- Implement and monitor AR and collections policies, escalation protocols, and write-off processes.
- Support clinic finance leads in managing payment plans and insurance follow-ups.
- Provide leadership with AR performance reports, identifying trends, risks, and improvement opportunities.
Billing Oversight
- Audit billing practices for consistency and compliance with PDG standards.
- Partner with Finance and Operations to streamline billing accuracy and timeliness.
- Support implementation of new billing protocols and system enhancements.
- Create visibility into billing performance and exception reporting for leadership teams.
Systems, Reporting & Continuous Improvement
- Develop standardized financial reports and ensure key metrics are easily accessible across teams.
- Identify and address inefficiencies in billing and reconciliation processes.
- Provide data-driven recommendations for improvement and automation opportunities.
- Collaborate with IT and vendors to optimize PMS and related systems.
Training, Development & Support
- Develop structured training and job aids for clinic finance and support staff.
- Conduct coaching and refresher sessions to reinforce compliance and accuracy.
- Partner with Clinic Managers and Regional Directors to monitor financial health and performance.
- Foster a culture of ownership, accountability, and continuous improvement within clinic finance teams.
What You Bring
- Post-secondary education in Accounting, Finance, or Business Administration.
- 3–5 years of experience in accounting or financial management, ideally within healthcare or multi-site operations.
- Strong knowledge of reconciliations, AR management, and billing systems.
- Proficiency with Practice Management Systems (PMS) and accounting software.
- Intermediate to advanced Excel and financial reporting skills.
- Proven success in process improvement, compliance, and internal controls.
- Strong analytical and problem-solving abilities.
- Excellent communication skills with the ability to simplify complex financial topics.
- Highly organized, detail-oriented, and comfortable managing competing priorities.
- A collaborative mindset and commitment to PDG’s values of trust, accountability, integrity, and respect.
Who You Are
- A financial problem-solver who enjoys finding clarity in complex systems.
- A trusted partner who can bridge operational and financial priorities.
- A process builder who thrives on structure, consistency, and results.
- A mentor and collaborator who helps others grow through knowledge-sharing.
- A values-driven professional who believes accuracy and transparency build trust.
