The AMA is recruiting for the position of Administrative Assistant. As a member of the Representation & Negotiations team, the Administrative Assistant will play a critical role in ensuring that AMA initiatives are supported with comprehensive administrative support to the Representation and Negotiations team.
This is a temporary position with a six‑month term, with the possibility of extension.

The AMA has a hybrid work environment. The successful candidate will be based out of our Edmonton or Calgary office and will have the opportunity to work from home but will be required to go into the office or attend in person when required. Infrequent travel within Alberta to attend in-person meetings may be required.
Team Overview
The AMA’s Representation and Negotiations Branch lead the Association’s efforts to represent and advocate for physicians through strategic negotiation, engagement, and relationship management. The branch is responsible for the full spectrum of physician representation and negotiations across Alberta’s health system.
Position Overview
The Administrative Assistant provides comprehensive administrative support primarily to the EVP Representation & Negotiations and other team members as required. This role is responsible for meeting support, calendar and email management, document preparation, records management, and expense report preparation.
Key Responsibilities:

Maintain awareness of day-to-day operations, status of special projects, and exercise sound judgment regarding the urgency of issues.

Perform general administrative tasks as required, including cross-coverage and vacation relief within the administrative team.

Maintain document tracking logs and filing systems in accordance with AMA standards.
-
Handle daily incoming correspondence and routine telephone inquiries, prioritizing, sorting, distributing, and responding as necessary.

Draft letters, memos, reports, Board and RF material, and summary/comparison documents as needed.

Create and maintain process and procedure documents for the Contract Negotiations area.

As needed, support the AMHSP Council, including meetings, election processes, and webpage maintenance.

Comprehensive support for internal and external committees and working groups for the branch, including:

- Liaising with external organizations (e.g., GoA, AMA WCB Negotiating Committee, etc.) for scheduling joint meetings
- Preparing and distributing meeting materials
- Accurate and concise minute-taking
- Scheduling meetings and managing committee formation
- Coding and entering meetings and expenses in MSIS
- Assisting with other duties as required to support committee activities.

Prepare expense claims for senior staff, ensuring all receipts are verified, cost centers are accurate, mileage is appropriate, and totals are correct.

Manage calendars, prioritize meetings, book travel arrangements, and provide required background materials prior to meetings.
Education and Experience
- Two-year post-secondary diploma with a major in business, administration or health-related field. Equivalent education/experience would be considered.
- Four (4) years of experience of which at least two have been at a senior secretarial or administrative level.
- Thorough working knowledge of Microsoft Office.
Skills
- Must be fully able to work effectively in an in-person and virtual environment (e.g., Zoom, MS Teams, off-site).
- Must have superior organizational skills to apply critical tasks and be able to work proactively to deliver operations in a timely manner.
- Strong writing skills required, particularly with respect to letter composition, business communication and appropriate transcription/synopsis of recorded meetings.
- Be responsive to the demands of work challenges and adapt to change, meet short timelines, and be flexible and prioritize quickly.
- Must have superior communication and collaboration skills.
- Must be able to work independently and as part of a team.
- Must have excellent judgment and discretion in dealing with AMA leaders and members.
