Posting Period: November 12, 2025 - November 21, 2025 The Program Secretary will provide proactive and quality support to the assigned Program Managers, taking initiative to coordinate and assist in managing the Program Managers’ calendars, coordinating meetings, responding to Program enquiries and providing secretarial support.
The Program Secretary will use various software applications to create spreadsheets, presentations and correspondence, as well as generate reports and provide initial analysis of the data. In addition, the Program Secretary will follow up on project initiatives/action items and committee meeting action items.
The Program Secretary will liaise with all levels of the organization and external stakeholders as necessary, and will ensure that all issues are dealt with in an efficient, timely manner, either through direct handling or referral to the appropriate individuals within the organization.
Skills And Qualifications Required
- Diploma in Office Administration
- Minimum two years of experience supporting multiple managers in a health care environment, performing related duties
- Certificate in Medical Terminology an asset
- Demonstrated keyboarding of 45 wpm
- Demonstrated intermediate proficiency in Microsoft Office Suite of products, including Word, Excel, PowerPoint; and Outlook (to be tested)
Position Responsibilities
- Acts as a receptionist, screening calls, dealing with program enquiries and transmitting essential information; acts independently to determine prioritization and routing of enquiry
- Attends and participates in team, administrative and support staff meetings and committee meetings as required, taking minutes; independently coordinates follow up of action items and communicates with Program Manager on progress
- Assists in coordinating Program Managers’ calendars, bringing attention to conflicts and high priority items
- Schedules meetings and provides Program Manager with overview of meeting agenda; gathers necessary information for the meeting, organizing for the Program Manager
