Position Summary Reporting to the Director of Medical Affairs, the Executive Assistant to the Chief of Staff and VP Medical & Academic Affairs and is accountable for providing senior level support to the Chief of Staff and VP Medical & Academic Affairs and the overall Department of Medical Affairs. This includes the coordination of executive committees such as the Medical Advisory Committee (MAC). Additional support as the Credentialing coordinator includes accountability for all professional staff appointments and reappointments including all new professional staff onboarding and orientations.

Primary Responsibilities Executive Administration

  • Prepares and distributes agenda packages, reports and correspondence, records minutes and follows-up on action items as required for the multiple committees supported by the role.
  • Provides executive administrative support to the Chief of Staff and VP, Medical Affairs. This includes maintenance of calendar, schedule, support for transcription of formal correspondence and organization communications.
  • Supports the reviews and updating of both the Professional Staff Rules and the professional staff by-law
  • Supports processes to ensure regular review of Professional Staff Rules and BCHS Professional Staff By-law and supports the implementation of applicable changes.
  • Lead coordinator for Hospital Grand Rounds including organizing schedule with presenters and moderators
  • Responds and manages all Regional Coroner Requests
  • Supports the Director of Medical Affairs with other projects as required.

Professional Staff Appointment/Reappointment

  • Accountable for the credentialing of all new professional staff including all physicians, dentists and midwives. This includes distributing application packages to interested candidates, follow up as required and collection of evaluations from references, etc.
  • Provides support for overall professional staff recruitment included reference checks, offer letters etc.

Project Coordination & Supervision

  • Responsible for leading relevant strategic administrative projects within the department such as:

  • The development of an electronic filing system for professional staff paper records

  • Standardization and streamlining of departmental procedure lists

  • Standardization and outlining of defined medical affairs processes

  • Responsible for supervising medical affairs students (medical office staff, university and high school co-op students):

  • Interviews interested students for opportunities within the department

  • Identifies key projects for completion within the department

  • Includes assigning tasks, monitoring work progress and signs off on the completion of required hours.

  • Provide feedback to students as required

  • Completes and submit reports back to schools as required

Budget/Finance Management & Reporting

  • Accountable for the collection of the Hospital On-Call Coverage (HOCC) Report for all departments
  • Responsible for the completion of reimbursement for Chief of Staff and VP Medical & Academic Affairs for applicable expenses

Mandatory Qualifications

  • 2- year diploma in Medical Office Administration or general degree in Healthcare Administration/Health Studies
  • Minimum 3-5 years experience supporting senior-level leaders
  • General understanding of medical terminology, healthcare in Ontario and the public hospitals act.
  • Strong computer skills required with an ability to learn new computer skills quickly.
  • Advanced level proficiency in use of Microsoft Office Suite Products (MS Word, Excel, PowerPoint and Outlook). Extra proficiency in excel and outlook for calendar management.
  • Strong organizational and time management skills.
  • Experience working with physicians and experience working in a hospital setting is an asset.
