About the role

Athabasca University's Financial Reporting and Operational Services is recruiting for a Coordinator, Payment Services.

This is a temporary term position ending January 31, 2027.

The Position: Reporting to the Manager, Financial Operations, The Coordinator Payment Services oversees all of the Accounts Payable functions including:

  • oversees all supplier vendor payments, employee expense claim reimbursements, student refunds, and student award payments; involves supervising Accounts Payable staff members, monitoring of Accounts Payable activities, reviewing and approving invoice and expense claim documents at various stages, and coordinating cheque runs and EFT payments.
  • provides the business lead knowledge for the Travel and Expense Management module of the finance system; performing training, maintaing procedures, reviewing profile set up, actioning parameter setting, trouble shooting, and assisting staff members.
  • performs accounting, analytical, and reporting functions related to the processing of Univeristy expenses; for example prepaid expenses, expense accruals, employee travel advances, deposits payable, and miscellaneous payables.
  • plays a major role in the ongoing development and operation of the Accounts Payable and the Travel and Expense modules in the finance systems, and within associated University systems.

The incumbent provides clients with timely, relevant, and reliable financial advice, and information on these functions in a professional client centered service manner.

Qualifications:

A post-secondary degree, in a related field, with a minimum of three years' experience in an accounting or finance environment. Equivalencies may be considered, for example a two-year diploma with five years experience.

Supervisory experience is an essential element of the duties of this position. Experience in the purchase to pay cycle, including payment services, is necessary. Advanced financial accounting skills, and solid understanding of current accounting principles, are required. Comprehensive knowledge of financial administration including the accounting processes and practices (General Ledger, Accounts Receivable, and Accounts Payable functions) is necessary. Experience with not-for-profit organization accounting treatment would be of benefit.

Other requirements include:

  • Three years direct experience in the expenditure - accounts payable area, and knowledge of related internal controls and best practices in payment services.
  • Strong analytical aptitude with proven problem-solving skills with a demonstrated ability to exercise sound judgment.
  • Commitment to a high level of accuracy and attention to detail with the ability to present information clearly and concisely.
  • Results oriented approach with excellent management skills to ensure deadlines are maintained and achieved.
  • Proven 'systems' aptitude including:
    • Extensive hands-on experience using a computerized financial system.
    • Proficient knowledge of Excel spread sheet application.
    • Familiarity with report extraction processes and general report writing tools.
    • Awareness of database program concepts.
  • A self-starter, capacity to learn quickly, and ability to work both independently and in a team environment.
  • Effective interpersonal and communication (verbal and written) skills.
  • Demonstrated organizational, documentation, and planning skills with the capability to handle multiple conflicting priorities with a high level of productivity while fostering and emphasizing client service.
