About the role

Position Overview

An experienced, dynamic, self-driven Administrative Coordinator who can oversee and coordinate administrative procedures and review, evaluate and implement new protocols and procedures. The Administrative Coordinator’s work will help guide project employee actions through researching, developing and updating best practises.

Key Responsibilities

  • Provide a high level of administrative support to key projects.
  • Manage logistical coordination for various projects.
  • Be responsible for providing advanced administrative support for department.
  • Assist with the development of project plans, schedules, and resource allocation.
  • Draft and revise documents, manage correspondence, maintain paper and digital files, make photocopies, maintain calendar, prepare minutes, etc.
  • Ensuring that project deliverables meet the required quality standards.
  • Develop and maintain a filing system for individual projects.
  • Formulate techniques for quality data collection and analysis to ensure adequacy and accuracy.
  • Assist with reports and data extraction when needed.
  • Managing data, documents and resources for multiple Tarbiyah projects websites (maintaining and organizing).
  • Ensure stored data is easily accessible to internal and external teams.
  • Help to develop briefings and presentations.
  • Be a primary point of contact for administrative and operational processes for internal and external communications
  • Ensures timely tracking of project components and reports progress to the manager on a daily and/or weekly basis.
  • Ability to organize, prioritize and follow through with important projects.
  • Handling administrative requests and queries from the manager.
  • Perform appropriate duties as assigned by management.

Qualifications

  • Background and experience in administrative roles
  • Sound knowledge of Islamic faith and practice
  • Exceptional time-management, planning and administrative skills
  • Proficiency in MS Office (MS Excel, MS Word and MS PowerPoint) and Google Drive (Docs, Sheets, Forms, Slides, Sites)
  • Proficiency in maintaining and organizing a basic website (preferred)
  • Basic graphic design skills (preferred)
  • Excellent oral and written communication and presentation skills in English
  • Attention to detail and problem solving skills
  • Strong analytical skills with the ability to collect, organize and analyze significant amounts of information
  • Ability to work within a team, with integrity, enthusiasm, initiative and confidence
