ABOUT THE ROLE
The Human Resources Administrator is responsible for managing and executing all onboarding and employee setup activities within Dayforce. This position ensures new hires are accurately configured in the system, that onboarding workflows run smoothly, and that data integrity is maintained across all HR and payroll modules. The role supports HR, Payroll, and operational stakeholders by ensuring timely, accurate, and compliant setup of employee records and providing technical and administrative support for Dayforce onboarding processes. This job requisition is for an existing vacancy.
Duties and Responsibilities
Project/Task Management
- Onboarding
- Administer the full onboarding workflow in Dayforce, including new-hire documentation, task assignments, e-signatures, DocuSign and required compliance steps.
- Monitor onboarding dashboards to ensure timely completion of employee and manager tasks.
- Troubleshoot onboarding workflow issues and escalate complex items to HRIS or Dayforce support as needed.
- Create, update and audit employee profiles in Dayforce, ensuring accurate entry of personal information, job details, compensation, cost centers, and security roles.
- Validate documentation required for employment setup (IDs, banking information, tax forms, certifications, work permits).
- Set up benefit enrollments and administer benefit changes, and employee inquiries through Industrial Alliance.
- Offboarding
- Provide backup and support with setting up the offboarding processes on Dayforce, including documentation (resignation letter, job abandonment letter)
- Auditing
- Assist Operations with timesheets and resolving discrepancies within Dayforce.
- Assist with HR audits and continuous improvement of HR processes and systems
- Audit onboarding data for accuracy and completeness prior to payroll processing.
- Configure system parameters specific to the province/region: tax settings, statutory requirements, pay group assignment, benefits eligibility, etc.
- Generate standard and ad hoc HR reports using Dayforce (headcount, turnover, attendance, etc.)
Customer Service
- Respond to employee inquiries regarding HR policies, benefits, and HRIS-related questions
- Gather information and details with any third-party request
- Assist with reception backup coverage, when required.
Communication
- Follow up with employee document submissions.
- Respond to all non-urgent employee email inquiries within 24 working hours
Teamwork
- Collaborate with HR to ensure offer details, employment terms, and job data are captured accurately.
Detail Orientation
- Conduct regular reviews of employee profiles for missing or outdated information.
- Audit onboarding data for accuracy and completeness prior to payroll processing.
Quality
- Prepare and maintain checklists, validation reports, and exception reports to ensure consistent quality.
Other duties and projects as required.
Education & Skills
- Post-secondary education in Payroll, Business Administration, or related field.
- Dayforce onboarding or HRIS coursework/training an asset.
- 1-2 years HR or administrative experience
- 1-2 years working with Dayforce or comparable HRIS platform.
- Experience using DocuSign an asset.
- Experience creating and editing forms with Adobe Acrobat Pro an asset.
- Well versed and adaptable with technology including Microsoft Office suite
- Excellent organizational and time management skills
- Strong attention to detail and accuracy
- Ability to handle confidential information with discretion
- Solid written and verbal communication abilities
- Good command of the English language required. Fluency in French an asset.
