About the role
You’re the go-to person who keeps things moving. As our Office Coordinator, you’ll play a key role in creating a welcoming, well-run environment that supports our teams and reflects our commitment to excellence. This role blends reception and office administration, collaboration with Marketing, and partnership with Property Management to ensure our spaces operate seamlessly.
This position is based out of our Beltline office, with some virtual support for our WestMount location.
You will
- Greet and welcome guests as they arrive
- Manage the office to ensure a professional and welcoming environment is maintained
- Direct visitors to the appropriate person and office, offering them water or a coffee
- Answer, screen and forward incoming
- Ensure the receptionist area is tidy and presentable with all necessary stationery and material.
- Receive, sort and distribute daily mail/deliveries and arrange and receive couriers
- Propose and manage office administrative budget for approval.
- Maintain office contact list
- Maintain office security by following safety procedures (monitor logbook, visitors).
- Health & Safety - Office fire marshal/CPR, review first aid
- Office - Building Liaison – manage requests for office maintenance
- Manage the cleanliness of the kitchen, and boardroom, and oversee the ordering of necessary supplies.
- Instruct team members on reception duties and arrange for coverage as needed.
- Maintain office calendar, arrange travel, and book hotels and transportation as needed
- Assist all business groups and teams with administrative support as needed (submit expenses, code invoices, data entry and any other ad-hoc tasks)
- Prepare workspaces for new hires (stationary, Anthem notebook, pen and hoodie, building passes
- Manage parking requests and invoices
- Catering for teams as needed
- Support the Marketing Coordinator with vertical project-specific events
- Support the Property Management team with building administration (update tenant contact/ building information, prepare purchase orders, invoices)
- Ensure the Beltline procedures manual is maintained and updated
- Other tasks as required to ensure the Beltline office is running smoothly

- Facilities experience is an asset, but not required
