Summary
Reporting to the Vice President, Capital and Asset Management, this position provides essential support to the project management team across multiple capital, renovation, and operational improvement projects. This role assists in the coordination, compliance tracking, scheduling, and documentation required to ensure projects are delivered on time, on budget, and in alignment with organizational goals. The Project Coordinator may also support internal reporting, vendor coordination, and stakeholder communications.

Responsibilities
Project Coordination
- Support the planning, scheduling, and delivery of capital and renovation projects.
- Track timelines, deliverables, and milestones using project management tools.
- Coordinate meetings, prepare agendas and minutes, and monitor action items.
Procurement & Contracts
- Assist with drafting and reviewing RFQs, RFPs, and contract documentation.
- Support vendor and contractor evaluation, onboarding, and compliance tracking.
- Maintain organized records of contracts and scopes of work.
Budget & Reporting
- Assist with project budgets, forecasts, and cost tracking.
- Monitor expenses and report on variances.
- Support grant and compliance reporting as required.
Compliance & Documentation
- Ensure project documentation and permits are accurate and up to date.
- Track vendor insurance, WCB, warranties and safety compliance.
- Contribute to project closeout reports and lessons learned documentation.
Communication & Stakeholder Engagement
- Provide clear updates to internal teams, consultants, and contractors.
- Coordinate effectively with engineers, consultants, and regulatory authorities.
Qualifications
- Diploma or Degree in Project Management, Construction Management, Engineering Technology, or a related field.
- Manitoba Class 5F license and access to vehicle
- 1–3 years of experience supporting projects or facilities operations, ideally in a non-profit, municipal, or institutional setting.
- Experience with project management software (e.g., MS Project, Smartsheet, or equivalent).
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and deadlines.
- Detail-oriented with a commitment to accuracy and accountability.
- Collaborative team player with initiative.
