About The Company Our client is a well-established property management company with a busy office environment and a diverse portfolio. Known for professionalism and responsive service, the company is seeking an organized and detail-oriented Reception/Administrative Assistant to provide additional support to the team.
Position Summary This is a part-time position, 3 days per week during regular office hours (not evenings and weekends), with the potential to expand into a full-time role if desired by the successful candidate. The Reception/Administrative Assistant will support daily office operations, including front desk reception, high-volume data entry, correspondence, phone and email communications, and documentation management. The role requires a strong focus on accuracy, organization, and professionalism in a fast-paced office.
Key Responsibilities
- Serve as the first point of contact for visitors, tenants, and callers
- Manage a high volume of incoming emails, phone calls, and correspondence
- Perform accurate data entry for property management records and documentation
- Prepare and maintain digital and physical files, forms, and reports
- Support the property management team with administrative tasks, including scheduling, mail processing, and filing
- Draft and format letters, notices, and tenant communications
- Coordinate office supplies and assist with vendor correspondence as required
- Maintain confidentiality and professionalism in handling sensitive information
Qualifications
- Previous administrative or reception experience, ideally in property management, real estate, or a fast-paced office environment
- Strong data entry and typing skills with a high degree of accuracy
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfort learning new software
- Excellent written and verbal communication skills
- High attention to detail, organization, and follow-through
- Ability to manage competing priorities in a busy environment
- Professional, approachable, and reliable work style
