Summary of responsibilities

Reporting to the Director Materiel Management & Environmental Services, the Clerk is responsible for purchasing, sourcing and procurement of both stock and direct purchases via the electronic ORMED system. Expedite orders and back orders to collaborate vendor placement and delivery dates. Responsible for contracts and services being monitored by ensuring they are up to date in the ORMED system. Procure quotes from a variety of venders based on the specifications provided by the department. Maintain invoice reconciliation, ensuring vendor invoices for pricing accuracy. Update stores catalogue. Assist in other administration functions/duties as assigned by the Manager.

Requirements of the job

  • Successful completion of post-secondary courses in Business Commerce, Accounting or Materials Management (e.g. Accounting, Business, APIC’s – one College semester)
  • PSPP101 (online 8 hours course)
  • HSCN Supply chain Certificate (online 26 hours, to be completed within six (6) months)
  • Knowledge of Virtuo computer software and GHX software or equivalent
  • Strong knowledge of Microsoft Office applications (Excel, Word)
  • Knowledge of Hospital purchasing and receiving
  • Knowledge of EDI ordering systems
  • Knowledge of medical supply and equipment products and terminology
  • Time Management skills and ability to prioritize and multitask
  • Knowledge of Health Pro or equivalent
  • Strong knowledge of the Broader Public Sector Procurement Directives
  • Demonstrated analytical, mathematical and problem solving skills
  • Excellent communication skills
  • Willingness to enrol in further Material Management education programs
  • Demonstrated regular, punctual attendance
  • Demonstrated commitment to patient safety
  • Functional level in English (oral and written)
