Sinai Health is looking for a Medical Secretary for our Pathology and Lab Medicine department.

About Pathology and Laboratory Medicine
Pathology and Laboratory Medicine (PLM) at Mount Sinai Hospital is recognized in Canada as a reference centre of excellence for laboratory services. Our internationally acclaimed professional and technical expertise, combined with advanced technology platforms, has made PLM a global leader in providing quality laboratory services, education, and research. We offer a wide range of diagnostic support to hospitals, medical clinics, and healthcare professionals in the Greater Toronto Area, across Canada, and internationally. PLM performs a wide array of services, including blood tests and specialized tissue analysis.

In this role you will:

  • Prepare written correspondence, reports and presentations
  • Prepare of grants, manuscripts, papers, references, and/or other documents
  • Perform library searches as required
  • Provide support for meetings including drafting agenda, arranging meeting rooms, catering, appropriate audio-visual and other equipment, and notifying attendees
  • Record and prepare meeting minutes for distribution
  • Arrange teleconferences as necessary
  • Prepare and gather appropriate material and information for meetings, rounds and appointments; including PowerPoint files, audiovisual for slide creation and poster presentations
  • Scanning of medical slides, materials and/or journal articles or other documents as requested
  • Organize and maintain an efficient filing system for all records
  • Coordinate internal educational programs (fellowships, resident placement, summer employment, etc.) • Attend to attendees/delegates of special conferences or events
  • Coordinate travel arrangements
  • Prepare receipts for reimbursement
  • Serve as back-up for administrative services duties
  • Perform other duties consistent with the job classification as required

Job Requirements

Job Requirements:

Mandatory

  • Successful completion of a college diploma or degree from an accredited educational institution

  • 2 years of relevant experience as a medical secretary

  • Applicants with proven equivalent, recent and related training and experience may be considered

Preferred

  • Diploma or degree in the field of Medical Office Administration

  • Previous experience in a health care environment

Skills and Knowledge

  • Proficient in Microsoft Word, Excel, Power Point, Outlook
  • Minimum 40 w.p.m. keyboarding/data entry speed
  • Knowledge of medical terminology
  • Self-directed with an ability to make decisions and to exercise good judgment and initiative
  • Excellent organizational and time management skills with the proven ability to manage competing demands
  • Flexible with the ability to work efficiently in a fast-paced, multitasking and dynamic environment
  • Demonstrated professionalism and ability to work independently
  • Excellent interpersonal and communication skills; professional, diplomatic and confident with a proven ability to work with individuals across all levels of the organization and external stakeholders
  • Demonstrated ability to work with a variety of individuals in a co-operative manner both independently and as part of a team
  • Ability to work accurately and effectively in a fast paced environment Demonstrated satisfactory work performance and attendance history
