Responsibilities
The Program Coordinator provides integrated administrative, program coordination, financial, and human resources support for multiple academic programs within the Faculty of Arts and Humanities. Reporting to the Manager, Administration, the role supports programs such as the School for Advanced Studies in the Arts and Humanities (SASAH), the Centre for the Study of Theory and Criticism, and other Arts and Humanities programs as required. The position combines senior administrative support functions with academic program coordination responsibilities. The role serves as a central point of contact for faculty, staff, students, and external stakeholders, ensures the smooth operation of program activities, supports governance, admissions, and student lifecycle processes, and ensures compliance with University and Faculty policies, procedures, and timelines.
Qualifications
Education:
- 3 year University degree in Business Management/Administration or related program
Experience:
- 4 years of progressively responsible experience providing senior administrative, financial, human resources, and/or program coordination support required
- Experience working in a postsecondary/academic environment preferred
Knowledge, Skills & Abilities:
- Demonstrated ability to support both senior administrative functions and academic program administration
- Strong understanding of financial, HR, and administrative processes
- Ability to interpret and apply policies, procedures, and collective agreements
- Ability to plan and manage events of various sizes; familiarity with large scale events an asset
- Verbal communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience
- Demonstrated ability take initiative, to work independently and follow through on work assignments
- Ability to apply active listening to hear and understand the complete message being communicated
- Competency to maintain confidentiality and treat sensitive information with discretion
- Ability to establish rapport with people from diverse backgrounds
- Demonstrated ability to understand and resolve external and internal partner issues
- Ability to maintain a positive, outgoing attitude with genuine customer service orientation
- Ability to follow formal business practices with high attention to detail
- Ability to multi-task and maintain an organized and effective personal work environment
- Adapts readily and effectively to changing priorities and demands
- Personable and courteous in working relationships with colleagues, students and the public
- Ability to demonstrate patience and focus to complete detailed administrative tasks
- Ability to interact professionally with students, staff, faculty, and other members of the University community
- Ability to work independently and effectively as a member of the team to achieve department goals
- Intermediate proficiency required in Microsoft Office in order to prepare formal correspondence, emails, and input departmental data into spreadsheets and databases
- Familiarity with software applications used by Western preferred – e.g. OWL, Cascade, PeopleSoft, Mustang Market
- Familiarity with academic calendar and programs offered at Western preferred
- Familiarity with Western policies and guidelines preferred
