Equipment Support Coordinator
About the role
Position Type: Full-time
Location: North Vancouver, BC
Reporting to: Equipment Operations Supervisor
The Equipment Support Coordinator is responsible for coordinating and supporting the equipment team by managing returns, credits, orders, and logistics while ensuring smooth operations during team absences, accordance with Medline Sinclair Standards and supplier policies.
DUTIES & RESPONSIBILITIES
1. Order and Returns Management
- Place orders for warranty, replacements, missing, or damaged parts.
- Handle equipment returns and ensure compliance with supplier policies and Medline standards.
- Process credits and rebills in the ERP system, including adjustments and reports.
- Issue credits to customers for returned goods according to procedures and coordinate with Accounts Payable, maintaining documentation for tasks and processes.
- Arrange and coordinate the retrieval of trial equipment.
- Prepare shipping labels and freight quotes for equipment returns.
- Ensure compliance with FDA and Health Canada regulations for international shipments.
- Process warranty claims and freight damage reports for equipment.
2. Vendor and Credit Coordination
- Process claims with courier companies in case of lost or damaged goods.
- Collect credit from the supplier/vendor and provide credit details to the Accounts Payable team.
- Follow up credit requests with vendors in case of any delay.
3. Equipment Team Support
- Coordinate and support all equipment team members across all branches.
- Support and coordinate with the Equipment CSR including:
o Processing credits and rebills.
o Performing stock adjustments.
o Performing serial number adjustments.

Support other team members during their absences, including receiving POs and PO filing.
Qualification & Skill Requirements
Education and Experience
- 3 years of office administration experience
- Use of ERPs systems to retrieve and enter information
- Proficient in Microsoft Office (Excel and Outlook in particular)
- Able to perform math operations such as multiplication, addition, division, subtraction, and percentages
Key Competencies
- Excellent attention to detail and strong time management skills
- Ability to prioritize tasks effectively and handle multiple responsibilities
- Strong verbal and written communication skills in English
- Professional interaction with branches, internal team, and vendors
- Proficiency in typing, data entry, and working with ERP systems
