About the Role
As our Project Coordinator, you will manage the full lifecycle of repair/maintenance service calls and renovations—from approval through completion. You’ll act as the central communication hub for customers, technicians, suppliers, and management, ensuring projects are well-prepared, expectations are clear, schedules are efficient, and the overall customer experience reflects our commitment to professionalism and quality.
What You’ll Do
- Prepare work orders, coordinate materials and deliveries, schedule technicians, and communicate directly with customers to clarify details and keep projects on track.
- Handle light administrative tasks such as uploading receipts, initiating review requests from clients, and coordinating payments to suppliers or subcontractors.
- Communicate directly with repeat clients who contact us for additional work (not routed through Sales), helping scope their needs and prepare next steps.
- Manage scope changes or delays, ensure customer decisions are well-informed, and escalate only when necessary.
- Troubleshoot issues, support technicians in the field, and reinforce proper use of company systems and workflow tools.
- Assist with final job wrap-up, post-job customer satisfaction follow-up, and prepare for invoicing or payment collection.
- Foster a positive, collaborative, one-team culture by offering real-time support and coaching to field staff, reinforcing our company systems and standards.
Critical Skills & Attributes
' Construction Knowledge
- Understanding of residential/commercial/industrial repairs, maintenance and renovations, tools, job scopes, and materials.
- Hands-on experience (professional or personal) is a strong asset.
- Ability to anticipate what technicians need to succeed onsite.
' Tech-Savvy & Efficient
- Comfortable using Google Workspace, CRM/workflow tools (e.g. Trello), QuickBooks.
- Able to streamline admin tasks and adopt new tools quickly.
' Strong Communicator
- Professional, confident phone and email presence.
- Excellent written skills for clear instructions and client updates.
- Comfortable guiding clients through project decisions.
' Organized & Calm Under Pressure
- Able to coordinate multiple projects at once in a fast-moving environment.
