Overview Reporting the Human Resources Supervisor, the Human Resources Assistant will support the day-to-day HR operations, including aspects of recruitment, employee relations, performance management, legislative compliance, and HR administration. This position works closely with the HR Supervisor and other members of the Peterborough Family Health Team (PFHT) leadership team.
Responsibilities Recruitment and Onboarding
- Support the HR Supervisor with creating and posting employment opportunities.
- Prepare onboarding materials for new employee orientation.
- Liaison with relevant post secondary facilities to support student placements.
- Maintain relationships with career counsellors at post secondary facilities to support employment opportunities; participate in job fairs if relevant.
- Facilitate the ordering of employee business and appointment cards.
- Distribute all mandatory legislative trainings to new employees at time of hire and ensure they are completed.
- Facilitate parking pass distribution and inventory spreadsheet.
Compliance and Record Keeping
- Maintain the mandated legislative training platform to ensure all materials are current and accurate.
- Distribute quarterly legislative training as scheduled; follow up to ensure all employees are in compliance.
- Maintain PFHT Employee/HR policies to ensure they are current and are reviewed as scheduled by the PFHT leadership or Board.
- Maintain accurate records of annual verification of professional registrations for all registered employees.
Compensation And Benefits
- Administer the enrolment and termination of PFHT employees eligible for Group Benefits and Health Care Spending Account.
- Responsible for the enrolment of all eligible PFHT employees in the Healthcare of Ontario Pension Plan (HOOPP). When applicable, process any HOOPP adjustments, terminations or retirements.
- Review PFHT employee schedules and timecards in UKG HRIS platform as required.
Performance Appraisals
- Maintain the Grapevine performance appraisal Platform in conjunction with the HR Supervisor.
- Maintain a list of employees due for probationary or biennial performance appraisals; in consultation with the HR Supervisor, and Primary Care Managers distribute employee self and team/peer evaluations.
- Follow up on the performance appraisal process to ensure they are completed in a timely manner.
The above responsibilities are not to be considered all – inclusive; may be assigned other related duties in the interest of efficient operations of the Peterborough Family Health Team.
Hours Of Work Monday to Friday – From time to time morning, evening and weekend work may be required.
Qualifications
- Post-secondary education in a related field such as business administration, commerce, human resources
- C.H.R.P. designation an asset
- Experience in Health Care environment (preferred)
- 3 years’ progressive experience as a generalist in a Human Resources environment
- Experience developing and implementing Human Resources policies
- Excellent interpersonal and oral/written communication skills
- Strong leadership and problem solving and conflict resolution skills
- Ability to maintain confidentiality and impartiality
- Capacity to adapt quickly to a fast paced, dynamic work environment
- High degree of accuracy and attention to detail
- Proven participatory work style; ability to work independently and with a team

Founded at the turn of the millennium, Peterborough Family Health Team (PFHT) supports the primary health care sector in Peterborough City and County. As one of the largest Family Health Teams in Ontario, the organization works with over 100 primary care physicians providing comprehensive care to their patients. Collectively, we have over 100 inter-professional healthcare providers, comprised of: mental health clinicians, nurse practitioners, pharmacists, a physician assistant, registered dietitians, registered nurses and registered practical nurses.
In addition to one-on-one care, PFHT administers many programs, services, and workshops as a means to redirect patients from the providers practice to a more focused area of care. This approach increases capacity at the practice level while providing patients with an opportunity to learn how to manage their health. These programs, workshops, and services are offered at no charge and derive from irrefutable patterns displayed in the perpetual symptoms patients present.
PFHT is a Queen's residency site, allowing our primary care physicians to have the chance to teach new physicians.
