About the role

Overview

Reporting to the Venue & Catering Manager and working with the Events Sales team, Front of House and Back of House teams, this position is responsible for planning and overseeing execution of events both onsite and offsite for Ravine Vineyard Estate Winery. The successful candidate must have experience with weddings, social events and corporate events. They must have a strong background in service, and will be adaptable in an ever-changing industry.

Role and Responsibilities

Events

  • Coordinates Event Execution; managing seamless execution of multiple concurrent events, including weddings, corporate functions, and social bookings, ensuring high-quality guest experiences.
  • Coordinates setup, staffing, and breakdown for all events, with vendors, BOH, and winery staff to meet event specifications.
  • Collaborates with the Event Sales Team to receive detailed event plans, ensuring accurate interpretation and implementation of client requirements.
  • Addresses and follows up with issues during events, such as guest concerns or logistical challenges, with quick and effective solutions.
  • Tracks event-related expenses, managess inventory (e.g., wine, décor, equipment), and optimizes resource allocation to meet financial goals.
  • Ensures there is a primary on-site contact for clients and vendors during events, ensuring clear communication and satisfaction.
  • Documents event details, outcomes, and feedback for post-event evaluations, contributing to continuous improvement of processes.
  • Trains and mentors Event FOH team, encouraging growth of individual strengths and skills and coaching to overcome challenges.
  • Sets, communicates and maintains timelines and priorities on every project.
  • Develops and maintains client relationships.
  • Maintains equal focus in all types of events offered by Ravine.
  • Completes offsite site inspections for catering, oversees setup and execution of events.
  • Participates in Weekly Planning Meetings, contributing to overall success of Ravine Events.
  • Performs daily and monthly physical inventory counts and investigates all physical inventory variances with Venue & Catering Manager and accounting department to identify any missed activity.
  • Positively contributes to the achievement of the team’s objectives and goals.
  • Maintains office filing and overall organization.
  • Manages supplier relationships.
  • Controls costs and minimizes waste.
  • Follows all guidelines set forth by Ravine and the Director, Estate Winery, as well as any regulations and liquor liability laws.
  • Other duties as assigned.

People & Culture

  • Assists in recruitment and selection of Events team.
  • Assists in onboarding, training, managing and off boarding of staff within the Events FOH team.
  • Provides leadership, mentorship and direction to team.
  • Provides positive motivators to team to ensure customer experience and standards are being met.
  • Assists in completing performance reviews for Events FOH team, giving meaningful feedback on performance and potential.
  • Shares accountability for overall engagement, productivity, turnover and bench strength of team.
  • Ensures constant communication with staff and peers, holding regular meetings and training sessions to ensure alignment of priorities and goals.
  • Executes other tasks and duties as required.

Educational & Experience Requirements

  • Event Management Certificate or equivalent years of relevant experience.
  • A minimum of 3 years working in a group sales or event planning position selling and planning wedding, corporate and social events.
  • A minimum of 3 years of experience with event management software; Caterease preferred.
  • Demonstrated experience in executing wedding, corporate and social events.
  • Smart Serve Certificate Required.

Preferred Skills

  • Communication: This position requires excellent listening, speaking, and writing skills; both with team members, event staff and clients.
  • Customer Service: Willing to go above and beyond to achieve customer satisfaction; personable.
  • Technical: Proficient with computer software such as Microsoft Office, Excel and Caterease.
  • Leadership: Able to delegate, control a fast paced environment; strong decision making skills.
  • Adaptability: Able to accept changing conditions and new information in a fast-paced environment.
  • Physical: Occasionally lift or move objects over 50LBS, some events will take place outdoors.

Working Conditions

  • Able to work daytime, evenings, weekends, weekdays and holidays as required.
  • Full-time, consistent; exceptions for event execution, must be flexible.
  • Approximately 90% office work, 10% event oversight.
  • Business casual dress code.
