Job Description:

The weekly days of work for this position will be Tuesday, Wednesday, Thursday, Friday, and Saturday.

The Support Services Supervisor will work to maintain a safe, sustainable and dignified environment for clients and staff. They will be responsible for supervising the business, property and dietary functions of the ministry unit. The Support Services Supervisor will contribute to The Salvation Army’s mission, vision and values by ensuring sound financial management, well maintained work and program spaces, and oversight of food services. The Support Services Supervisor is responsible for achieving and maintaining all funder, legislative and organizational requirements for all areas within their scope.

Accountabilities:

Facility Management

  • Oversees ongoing facility maintenance, renovations and property projects
  • Supervise all matters pertaining to custodial and dietary services for the ministry unit
  • Oversee procurement of goods for dietary and custodial services
  • Monitor use and maintenance of equipment, ensure regular inspections occur as needed
  • Work with frontline and clinical staff to direct resident chore schedule
  • Liaises with contractors and maintenance professionals as needed
  • Provides vacation coverage for staff as needed.
  • Prepare and/or input appropriate forms, monthly statistical recording, and reporting
  • Ensure the shelter is kept in a clean and organized/orderly fashion
  • Prepare incident reports and submit reports when they occur and ensure WSIB forms are completed and submitted

Human Resources

  • Supervise and provide day-to-day direction to assigned reports (Business Manager, Cook, Janitor) in accordance with established policies and procedures including Employment Standards and payroll procedures
  • Trains members of the Support Services team, ensuring they have clarity of role and understanding of expectations
  • Demonstrates relevant understanding of, and compliance with, legislative knowledge of the Employment Standards Act, Human Rights Act, collective agreement and other applicable legislation as required
  • Engage in the development of inter-personal relationships that promote dignity and respect
  • Schedule, conduct and document regular supervision meetings
  • Conduct Performance Reviews quarterly and Evaluations annually
  • Ensure staff work within all Health and Safety practices/protocols
  • Attend and actively participate in Team meetings and chair them in the absence of the Operations Manager
  • Provide back-up support to support services and management positions and their functions as required
  • On call duties for issues as scheduled
  • Ensure that all employee and client files and information is kept under lock and key and held in the strictest confidentiality

Health and Safety

  • Responsible for oversight of KHL’s health and safety program
  • Demonstrates understanding of, and compliance with, workers’ responsibilities under the Occupational Health and Safety Act and Regulations, WSIB policy and TSA policies and procedures
  • Assist with statistical reports and other documents for DHQ/THQ/funders
  • Ensure clients receive proper Customer Service while relating to the staff

Other Duties:

  • Assist in ensuring the shelter support services comply withies and meets the standards for Quality Assurance & Accreditation
  • Attend Committee and Agency meetings as directed by the Operations Manager
  • Participate in the Policy Review Committee
  • Conduct tours of building for groups or individuals as requested
  • Assist the Director with the creation of the budget

Team Management:

  • Conduct Performance Review and Evaluation annually
  • Assist with staff training in accordance with facility policy
  • Document supervision meetings with team members ensuring they are accurate and up to date
  • Complete shift schedules in accordance with current policies and legislation
  • Run/assist with the full cycle recruitment of team members including orientation for all staff in areas under scope (food service, business, facility).
  • Monitor and notify the Operations Manager of staff training needs in accordance to policies
  • Communicate continually and effectively with team members and is an active and cooperative team member
  • Participate at case management meetings, in-house training and in ongoing development of relevant skills/knowledge as they intersect with areas under scope.
  • Ensure all contact with donors, staff, volunteers, and the general public are courteous and professional.
  • Network and refer to The Salvation Army, government, and community social service providers to coordinate resources for the benefit of guests and programs when necessary.
  • Adhere to standards consistent with the values and philosophy of The Salvation Army.
  • Practice The Salvation Army professional code of ethics and communicates and cooperates with all co-workers, partners, and clients in a respectful, open, and honest manner, maintaining confidentiality at all times.

MANAGERIAL/Technical Leadership RESPONSIBILITY:

  • Reports directly to: Interim Operations Manager
  • Direct reports: Up to 5

FINANCIAL AND MATERIALS MANAGEMENT:

  • Participates in creation of annual operating budgets for the program
  • Review financial statements monthly with Interim Operations Manager to ensure adherence to budget
  • Demonstrates understanding of funder agreements, services and funder expectations
  • Minor material responsibilities (access to confidential information, responsibility for proper usage of equipment).
  • Uses or maintains organization assets in accordance with established guidelines.
  • Ensure proper use of, and tracking of various gift cards, vouchers, and tickets as directed by the Leaders and related policies.
  • May handle cash and credit card.
  • Uses and maintains organization Ministry Unit assets in accordance with established guidelines.

WORKING CONDITIONS:

  • This is a full-time position based on 40 hours per week, plus on-call duties and requires flexibility.
  • The incumbent’s work environment is within facility settings.

The incumbent will work under the following disagreeable conditions:

  • Immunization for Hepatitis B and vaccination against tuberculosis and flu are suggested.
  • Complies with all safety procedures.
  • Ensures proper lifting, twisting & reaching techniques are used during job performance.
  • Checks intercom & monitor before answering the door.
  • Answers the door with proper precautions.
  • The incumbent may be exposed to the risk of moderate injury or illness due to:
  • Physical attacks by others
  • Exposure to infectious diseases
  • Exposure to toxic chemicals
  • Sharp Objects (i.e., needle sticks)
  • Other dangerous situations

Education, Qualifications and Certifications:

  • Willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.
  • Ability to provide an original copy of a Protected B Clearance that is satisfactory to The Salvation Army, in its sole discretion, is required.
  • Alternative combination of education and experience may be considered.
  • Diploma or degree in related discipline (ex. Business Administration, Finance, etc.)
  • Alternative combinations of education levels and experience may be considered.
  • Emergency First Aid & CPR, Non-Violence Certificate, and Mental Health First Aid Certificate or willingness to complete once hired.
  • Other certification required by The Salvation Army and federal/provincial legislation or willingness to complete once hired.

Experience and Knowledge Requirements:

  • 3-5+ years of experience overseeing business and property management functions in a facility.
  • Demonstrated ability to lead a staff team.
  • Knowledge of Occupational Health and Safey issues.
  • Experience in a unionized environment is an asset.
  • Experience in supervision of dietary services is an asset.

Compensation:

The target hiring range for this position is $55,244.80 to $69,076.80 with a maximum of $82,888.00.

Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
