Project Administrator – Technology & Operations Integration (34683)
About the role
Our Montreal based Finance client has recently completed the acquisition of another company and is mobilizing a Technology & Operations workstream to support integration activities. This workstream manages high-volume, variable tasks requiring strong organization, responsiveness, and the ability to adapt to shifting priorities and timelines.
The Project Administrator will support onboarding/offboarding, event coordination, resourcing, invoicing, and general program administration under the supervision of the Delivery Lead.
Key Responsibilities Onboarding & Offboarding
- Coordinate end-to-end onboarding/offboarding for EY and non-EY resources.
- Prioritize urgent access requests, schedule provisioning, and support security checks.
- Ensure onboarding materials are up to date; respond to access, travel, and logistics questions.
Event & Logistics Coordination
- Book rooms for client and EY travel events.
- Coordinate building access, Wi-Fi, and guest registration for non-EY participants.
Program Administration
- Prepare weekly “Wins of the Week” updates.
- Support recognition initiatives and assist with status reporting.
Resourcing & Invoicing
- Maintain accurate resourcing sheets, hour forecasts, and cost rates.
- Manage subcontractor invoice submissions and ensure timely, accurate delivery.
Required Skills & Qualifications
- Administrative experience supporting multi-team environments.
- Strong organizational and prioritization skills; ability to manage shifting workloads.
- Proficiency with Excel.
- Experience managing requests, tracking systems, and documentation.
- Detail-oriented with strong follow-up and communication skills.
- Bilingual (English & French) strongly preferred.
