As an Applications Processing Representative, you will provide daily support to internal and external customers with contact in-person or by telephone. Tasks are completed on a rotational schedule. Primary duties include:

  • Process payments and refunds; analyze and prepare daily, monthly and annual reports; and support/be the Subject Matter Expert (SME) and User Acceptance Testing (UAT) for projects.
  • Investigate, process, and reconcile outstanding fees, returned cheques, and refund requests.
  • Accept, review, and process applications for various licenses and in-person permit applications, in accordance with applicable bylaws. Provide guidance to citizens regarding City bylaws.
  • Provide front-line customer service for Planning and Development at the greeter counter for permit applications and business licences.
  • Review customer submissions and create Development Site Servicing applications.
  • Provide representation at the Applications counter for various licenses and in-person trade permit applications.
  • Guide the process of technical trade permit applications with contractors via the View Information Specific To your Application (VISTA) online program, in person, and through telephone communication.
  • Coordinate the circulation, advertisement and release of commercial, residential, development, and subdivision applications.
  • Process payments from the Planning and Development Call Centre queues while keeping the queue lines to a minimum.

Qualifications

  • A completed 1 year certificate in Business Administration, or a closely related field.
  • At least 3 years of experience including customer service with direct public access such as a banking or retail environment.
  • Experience with accounting and cash office transactions is required.
  • The ability to obtain Commissioner for Oaths designation and Designation of Powers Certification from the Safety Codes Council of Alberta is required.
  • Preference will be given to those with Application Processing Representative experience, or a very similar role, involving hands-on experience with the planning application process.
  • Experience in a high-volume call centre with multi-channel customer service is an asset.
  • You demonstrate excellent organization skills, high attention to details. and accuracy with handling information.
  • You are adaptable when faced with changing priorities and exhibit strong problem solving and decision-making skills while being flexible.

Working Conditions: Applicants must be able to lift up to 25 pounds (over 10 kgs).

Pre-employment Requirements

  • A security clearance will be conducted.
  • Applicants will be tested for appropriate skills.
  • Successful applicants must provide proof of qualifications.

Workstyle

  • This position may be eligible to work from home for at least part of the time as one of several flexible work options available to City employees. These arrangements depend on the operational requirements of the role, employee suitability, and are subject to change based on operational needs and corporate direction.

  • Compensation: Pay Grade 8 $39.00 - 52.14 per hour
  • Hours of work: Standard 35 hour work week.
  • Days of work: This position works a 5-day work week with 1 day off in a 3 week cycle.
