Position Description
The Education Administrative Coordinator will provide administrative services for the Division of Neurosurgery's Education Program. This role will act as the central resource for all trainees within this program and be their communication link within the division, ensuring the efficient operation of the education program. This position will also support financial and accounting duties and facilitate the completion of projects in order to ensure efficient operations of the division.
Here's What You Will Get to Do:
- Coordination of matters related to the education program
- Manage reports, evaluations and other documents pertaining to accreditation and meeting specific set standards
- Create and manage the divisional education sharepoint site
- Organization of schedule/rotations
- Manage and coordinate appointments and re-appointments for the Education Program and trainees
- Be responsible for the Fellows and/or Elective/Resident portion of the Education program, including handling all correspondence and inquiries related to the program, liaising with trainees before their arrival and during their training at SickKids
- Organize and coordinate conferences and events pertaining to the Education program
- Create and maintain the primary schedule for trainees and learners
- Provide administrative support to the Education Program Director, as well as education section heads
- Handle inquiries and correspondence related to the Education Program
- Prepare orientation packages for all trainees
- Manage schedules and organize meetings
- Assist and maintain the coverage and call schedules
Professional Accountabilities:
- Develop strong relationships and communicate with multiple-level contacts across several portfolios and throughout the Hospital to exchange/report/analyze moderately complex information
- Independently respond and collaborate with other areas to problem-solve/resolve conflicts and roadblocks, and independently or collaboratively propose solutions
- Arrange meetings with various multi-level attendees; organize meeting rooms, catering, audio visual and equipment as required
- Prepare and distribute meeting agendas and minutes
- Coordinate and oversee projects from draft to implementation/completion
- Process expense and credit card reimbursements for trainees
- Provide ongoing support for other coordinators within the Division/Department
Here's What You Will Need:
- Post-secondary degree/diploma in business, education or office administration or related field
- Minimum five (5) years of senior administrative experience preferably in a hospital or university setting
- Ability to work in a fast-paced work environment with many interruptions and multiple priorities
- Highly developed analytical, evaluative, and problem-solving skills
- Proven ability to prioritize work in an efficient and organized manner
- Expert knowledge and proficiency in all Microsoft Office applications (Outlook, Teams, Word, Excel, PowerPoint)
- Exceptional interpersonal, oral, and written communication skills
- Demonstrated high level of judgment, tact, and diplomacy in interacting with a wide variety of internal and external stakeholders
- Ability to work well independently, as well as in a team environment
- Exceptional problem-solving skills with the ability to exercise discretion and confidentiality
- Positive outlook and great team player
- Strong work ethic and attention to detail
- Self-motivation and ability to be proactive
