The HR Systems Specialist plays a critical role in enabling data-informed decisions and seamless people operations through the thoughtful stewardship of our HR systems. Reporting to the Director, People & Experience, this role is responsible for maintaining the integrity, functionality, and optimization of Dayforce—ensuring a smooth, secure, and supportive experience for both employees and administrators.
This role oversees system configuration, reporting, auditing, data governance, and user support, while also leading improvements that drive automation, support compliance, and enhance the overall employee experience. As the primary Dayforce administrator, the HR Systems Specialist leads any approved module implementations and enhancements, ensuring every change reflects both operational excellence and care for the people it impacts. This role is foundational to how we support our workforce—through reliable systems, trusted data, and a commitment to continuous improvement rooted in purpose.
Responsibilities Data Collection and Reporting:
- Collect, analyze, and interpret data from various HR systems, producing detailed reports that inform key business decisions.
- Utilize predictive modeling and analytics to extract insights and identify emerging trends in areas such as employee engagement, talent acquisition, retention, and workforce demographics.
- Design and implement automated and customized reporting tools, ensuring reports are easily accessible to end-users via self-service portals.
- Generate regular reports, including pay and benefits, employee profiles, time off utilization, employee engagement, and budgeting uploads.
- Provide data support for the annual employee engagement survey (Our Voice) and other organizational initiatives.
- Proactively stay informed about trends in HR technology, including advancements in AI, mobile, and big data analytics.
- Conduct regular data audits in Dayforce to ensure accuracy, consistency, and compliance with internal policies and external regulations.
HRIS Administration, Maintenance, and Troubleshooting:
- Oversee the day-to-day operations of HR platforms (Dayforce), ensuring seamless integration, system optimization, data security, and ongoing maintenance.
- Partner with vendors to maintain service contracts, ensure smooth system upgrades, and maximize system functionalities.
- Administer user accounts, ensuring accurate permissions and access levels for all employees during onboarding and offboarding.
- Maintain backend configurations for all employee data, including role assignments, benefits, and organizational hierarchies.
- Develop and deliver system training to internal users across all levels of the organization, tailoring content based on role and system access.
- Ensure data integrity by conducting regular audits and addressing discrepancies.
- Manage and resolve HR system-related issues submitted through internal ticketing systems (Requestify).
- Work closely with the Payroll team to ensure accurate data flow between HRIS and Payroll Systems, troubleshooting any discrepancies in payroll processing, benefits or time tracking.
Project Leadership & Cross-Functional Collaboration
- Act as the lead for future Dayforce enhancements, upgrades, and module expansions.
- Collaborate with cross-functional teams to align system capabilities with organizational needs.
- Support change management and user adoption strategies for all Dayforce-related improvements.
Qualifications
- University degree in Human Resources, Information Systems, or a related field.
- 3-5 years of experience in data analysis, statistical modeling, and analytics within an HR or HRIS context.
- 3-5 years of progressive HRIS administration experience, with a focus on Ceridian Dayforce platform.
- Proven track record in generating complex HR reports for senior leadership.
- CHRP designation or progress towards it is an asset.
- PMP certification or project management experience is a strong asset.
- In-depth knowledge of employment legislation (e.g., Employment Standards, Human Rights Code).
- Advanced proficiency in Microsoft Office, particularly Excel (pivot tables, VLOOKUPs) and PowerPoint.
- Excellent communication, project management, and problem-solving skills.
- Attention to detail, confidentiality, and sound judgment in handling sensitive information.

Salary Range: $65,000-$90,000 CAD
This is a current vacancy that we are actively recruiting for. The salary range represents the expected compensation for this role and is provided in accordance with Ontario’s pay transparency requirements under the Employment Standards Act.
Placement within the range will be determined based on relevant skills, experience, qualifications, and internal equity. The final offer will reflect the successful candidate’s background and demonstrated capabilities.
