ABOUT THE ROLE

This position is responsible for providing administrative, legal, and clerical support for the Prosecution Office. Prepares documents including correspondence, reports, and court documents in the Ontario Court of Justice, Superior Court of Justice, and Ontario Court of Appeal. In addition, prepares virtual dockets, obtains, reviews and processes disclosure and maintains files. Completes work on projects as assigned. Liaises with various stakeholders and the public for prosecution related requests, Charter Applications and appeals.

WHAT YOU'LL BE DOING

  • Reviews requests for disclosure relating to matters before the court in accordance with relevant legislation, established case law and process direction. Liaises with enforcement agencies to request and coordinate receipt of required evidence to meet legal disclosure obligations.
  • Reviews and redacts files and digital media evidence to ensure appropriate material is disclosed in compliance with relevant Standards, Acts and Regulations.
  • Prepares daily virtual docket and reviews that material is available.
  • Accepts service of motions, appeals and Charter Applications. Reviews to ensure service and filing is in accordance with legislative requirements.
  • Retrieves and reconciles of electronic files, exhibits, and digital media evidence from various enforcement agencies, checking completeness and availability for trial. Reviews rejected files with various stakeholders.
  • Orders transcripts and follows up for receipt and distribution to stakeholders.
  • Prepares documentation for enforcement agencies to investigate impersonation requests.
  • Provides administrative and support services to the unit.
  • Prepares correspondence, documentation, and case related material.
  • Accepts service of documents as agent for the Prosecutor and verifies accuracy and completeness.
  • Maintains records and filing systems in accordance with Regional standards and procedures.
  • Updates and maintains data, files, records, and reports for review by management.
  • Provides counter and telephone service. Receives and responds to inquiries, requests for information, and resolves complaints from internal/external stakeholders and the public. Refers complex matters appropriately.
  • Contacts appropriate agencies to ensure compliance with disclosure requests.
  • Assists in training new staff and monitoring work of students as needed.
  • Participates on committees, work groups, as assigned.
  • Ensures that services provided meet Regional customer service standards.
  • Manages information in accordance with legislation and corporate standards.

WHAT WE'RE LOOKING FOR

  • Successful completion of a Post Secondary diploma/certificate (1 year or more) in a Legal Assistant, Law Clerk, Professional Program, or related field or approved equivalent combination of education and experience.
  • Minimum three (3) years' experience in a legal, court or related office environment.
  • Satisfactory Police Criminal Background Check.
  • Thorough knowledge of the preparation of various legal documents such as Superior Court Applications, Ontario Court of Appeals Applications, Certiorari Applications, etc.
  • Demonstrated knowledge of relevant Standards, Acts and Regulations.
  • Knowledge of general office procedures including utilizing a records management system.
  • Knowledge of and ability to use the Integrated Court Offences Network [ICON] database, CAMS (Case Management System), DEMS (Digital Evidence Management System), and Adobe Pro.
  • Strong communication skills to provide customer service to various internal, external stakeholders and the public.
  • Intermediate skills in MS Office Suite including the use of virtual platforms.
