The role

McMillan Vantage is seeking a full-time Executive Administrator to provide parental leave coverage beginning on a mutually agreed upon date. The successful candidate will play a pivotal role in ensuring the smooth operation of the firm by supporting the CEO, coordinating business operations, and maintaining compliance across our business development and lobbying activities.

The role requires exceptional organizational ability, sound judgment, discretion, and a deep understanding of the fast-paced and detail-oriented nature of a public affairs consultancy. Experience in political operations or professional services is considered a strong asset.

This individual will act as a trusted partner to the CEO and broader leadership team - anticipating needs, managing workflows, and helping the firm stay aligned with its operational, business development, and political priorities.

The responsibilities

  • Provide high-level executive and operational support to the CEO, including managing schedules, correspondence, meeting preparation, and follow-up
  • Coordinate internal operations, ensuring smooth communication and workflow across the leadership team and broader staff
  • Support individual lobbying registration compliance and business development reporting obligations, including helping senior leadership track business development contacts and ensuring data integrity
  • Support business development processes, including managing proposals, tracking client engagements, and coordinating the approval of contracts.
  • Assist with financial and operational administration such as expense tracking (limited) vendor engagement, and budget coordination
  • Prepare internal and external materials, including presentations, reports, and briefing notes for senior management and partners at the request of the CEO
  • Plan and coordinate team meetings, retreats, and client events as needed

The candidate possesses the following:

  • 5+ years of experience providing executive or operations support in a professional services, government, or political environment
  • Exceptional organizational skills and ability to manage multiple priorities in a fast-paced setting
  • Strong written and verbal communication skills, with acute attention to detail and discretion
  • Experience with compliance processes such as lobbying registration, business development pipelines, or legal/financial administration
  • High degree of professionalism and sound judgment in dealing with confidential information and senior stakeholders
  • Proficiency with Microsoft Office and familiarity with CRM or project management tools
  • Flexibility, initiative, and a collaborative mindset; thrives in a team-oriented, entrepreneurial environment

This is a 14-month contract role to cover a parental leave, with the potential to evolve into a permanent position for the right candidate. We’re looking for someone eager to contribute to a dynamic, growing firm and continue building their career at McMillan Vantage.
