Your Opportunity
Our Corporate Real Estate (CRE) department plays a vital role in supporting the company’s internal operations. The CRE team manages a diverse portfolio of leases worldwide, ensuring our offices are aligned with our strategic goals. As part of this team, you’ll collaborate with real estate managers and corporate leadership to deliver best-in-class service to Stantec’s internal stakeholders—helping our people do their best work every day.
As Corporate Real Estate Administrator, you will be a key member of the Corporate Real Estate team, supporting real estate managers, corporate leadership and other internal stakeholders. You will help ensure our global lease portfolio is managed efficiently and in compliance with company standards, while contributing to process improvements and special projects.
Your Key Responsibilities
Lease Administration & Documentation
- Coordinate the execution, review, and distribution of lease and real estate documents, including leases, amendments, memorandums, estoppels, assignments, consents, insurance certificates, and termination/vacate letters.
- Ensure all documentation meets compliance and audit standards, and maintain organized electronic records using SharePoint and other systems.
- Act as a primary team contact for internal and external stakeholders regarding lease documentation and transactional information.
Legal & Contract Review
- Assist in reviewing legal documents and contracts for accuracy and compliance, working closely with legal, finance, and real estate managers.
- Paralegal experience or comfort with legal/contract review is a strong asset.
Reporting & Data Management
- Develop, customize, and distribute portfolio and critical dates reports using CoStar and other internal databases.
- Support the lease abstraction process and ensure accurate data integration.
Cross-Functional Coordination
- Liaise with finance, insurance, legal, landlords, tenants, vendors, and internal teams to resolve administrative issues and facilitate smooth lease management.
- Assist with onboarding new employees and coordinate equipment and workspace readiness.
Administrative & Project Support
- Provide administrative support to CRE leadership and managers for special projects, presentations, and process improvements.
- Manage scheduling, meeting coordination, and vacation/travel calendars for the CRE team.
Process Improvement

Own and update key templates, guidelines, and process documentation for the CRE team.

Participate in initiatives to improve workflows and integration between teams. Your Capabilities and Credentials

Strong working knowledge of Microsoft Office Suite, especially Excel.

Comfortable learning new systems (including CoPilot or other A.I. Tools).

Exceptional organizational skills, attention to detail, and ability to manage multiple tasks and deadlines.

Excellent communication skills (verbal and written); collaborative and proactive approach.

Able to work independently in a dynamic team environment.
Education and Experience
High school diploma required.
5 years of related experience in (ideally commercial) real estate administration, legal/paralegal, or property management.
Experience with compliance, audit controls, and contract review preferred.
Typical office environment working with computers and remaining sedentary for long periods of time.

Pay Transparency: In compliance with pay transparency laws, pay ranges are provided for positions in locations where required. Please note, the final agreed upon compensation is based on individual education, qualifications, experience, and work location. At Stantec certain roles are bonus eligible. Actual compensation for part-time roles will be pro-rated based on the agreed number of working hours per week.
