Job Summary

The Fountain School of Performing Arts is the only university performing arts school east of Montreal and brings a range of new opportunities to students of Music, Theatre, and Cinema and Media Studies. Reporting to the Administrative Officer, Finance and Personnel, the Reception and Administrative Clerk is the front-line contact for the Fountain School, responding to all inquiries and assisting current and prospective students, parents, staff, faculty, patrons, donors, visiting artists, external clients, and members of the public. The position provides administrative support for faculty and administrators, performs clerical duties, facilitates the efficient operation of the office, oversees student assistants, and ensures all activities comply with policies and procedures.

Key Responsibilities

  • Provide front-line reception for the Fountain School and serve as primary resource person for information regarding School programs, policies, course outlines/schedules, etc. Assist students, faculty, staff and rental clients with a wide range of daily enquiries.

  • Manage room bookings for rehearsals, meetings and rentals in Campus Bookings system, receive payments from clients and students and maintain petty cash.

  • Clerically coordinate departmental mail, distribute and keep track of School keys, update School bulletin boards and maintain office stationery and equipment.

  • In coordination with the Production/Outreach Administrator, assign tasks and supervise student office assistants.

  • Assist in moving equipment/instruments for various events (some heavy lifting required).

Note

Due to operational requirements, the successful applicant is required to work in-person on campus.

Occasional evening and weekend work may be required.

Required Qualifications

  • Administrative Professional program with a minimum of one year of relevant work experience (or an equivalent combination of training and experience).

  • Experience working in a fast-paced environment.

  • Ability to multi-task and to respond to requests in a timely and professional manner.

  • Problem-solving, organizational skills, proficient typing and computer skills.

  • Excellent interpersonal and communication skills (verbal and written).

Assets

  • Experience working in a university or post‑secondary environment.

  • Knowledge of, and demonstrated interest in, the performing arts.
