SUMMARY:

Reports to the Principal and works under the direction of his/her designate. Performs a variety of accounting and clerical duties to support the accounting and purchasing functions of a secondary school.

DUTIES:

  1. Monitors and maintains computerized accounting system for school trust accounts and school board accounts; processes debit and credit card transactions; processes online payments; collects cash and cheques, follows up on NSF cheques and any outstanding fees, including fees for students; issues receipts; prepares and makes bank deposits; issues cheques; transfers debit payments to the correct accounts; prepares cash floats and reconciles; prepares cash statements and bank reconciliations; prepares monthly and year end trial balance, GST & PST reports; prepares account ledgers for sponsors; advises principal and teachers of any changes and/or problems, as appropriate.

  2. Maintains school petty cash account and reconciles as required.

  3. May perform purchasing duties on an ongoing or relief basis; monitors school budgets to ensure conformity to approved allocations; contact suppliers; prepares orders and receives supplies; verifies orders received and invoices; prepares necessary documentation; reconciles monthly budget statements and procurement card; prepares departmental budget summaries.

  4. Maintains departmental billing records; prepares invoices; monitors payments and reconciles statements.

  5. Performs relief receptionist duties; responds to a wide variety of external/internal inquiries both by telephone and in person.

  6. Keyboards/types, photocopies, collates and files a variety of curriculum materials, correspondence, and forms; performs general clerical duties.

  7. May perform minor first aid.

  8. May complete annual supply inventory; maintain inventory of supplies; prepare annual orders.

  9. Remains current with changing technology, practices and equipment.

QUALIFICATIONS:

Successful completion of a secondary school graduation program or equivalent, supplemented by secretarial or business courses equivalent to 6 months, including an accounting component.

Two years recent clerical and accounting office experience or equivalent combination of education and experience. Previous experience using a computerized accounting system.

Experience in using word processing, database and spreadsheet applications.

Good interpersonal, communication and organizational skills and the ability to use judgement and tact when providing information.

Ability to work independently and to work quickly and accurately with figures. Ability to handle frequent interruptions.

Ability to operate a variety of office equipment. Physically capable of performing the duties. Knowledge of basic first aid.

Knowledge of WCB and WHMIS regulations. Safe work practices.

Some positions may require the knowledge of a language other than English.
