Who We’re Looking For

You are someone who is smart, curious, and quick to understand context. Helpfulness is the default setting; you look for ways to reduce friction and add value without being asked. You’re comfortable exercising judgment and saying no when appropriate. You are organized, reliable, and disciplined about follow‑through and you have strong written communication skills with good editorial instincts. You can operate independently in a fast‑moving professional environment and are experienced in supporting senior leaders (professional services experience is an asset).

Salary:$70,000 - $90,000 (dependent on experience)

This position is also eligible for overtime pay (paid at time and a half), discretionary performance bonuses, and holiday bonuses.

Key Responsibilities

This role exists to make the Managing Principal more effective.

You will act as a true extension of the Principal, managing information flow, exercising judgment, protecting time, and ensuring priorities move forward. This is not a task‑based administrative position. It requires intelligence, discretion, and initiative.

You will provide direct, dedicated support to the Managing Principal and limited support to other office leadership.

When done well, this role directly improves leadership effectiveness, decision quality, and risk management. You will be relied on, trusted, and involved in real work, not shielded from it.

Duties include, but are not limited to:

Leadership Support

  • Provide administrative support to the Managing Principal including calendar management and scheduling, travel requirements, report preparation, and conferences and speaking engagement arrangements.

  • Full inbox management, including triage, prioritization, drafting responses, and ensuring critical items do not drop.

  • Documenting meetings and deliverables. Creating and distributing minutes.

  • Assisting with financial summaries and analysis. Downloading and prepping appropriate materials.

  • Liaise with Project Administrators and other support staff to cohesively support the broader team.

  • Prepare and maintain the Leadership Team calendar.

  • Complete internal and external correspondence as directed.

  • Compose, edit, proofread and produce word processing documents including letters, reports, business plans and other miscellaneous correspondence. Develop templates for common documents based on corporate standards.

  • Coordinate meetings such as strategic planning sessions and operational meetings as well as leadership meetings with third parties.

  • Tracking commitments, decisions, and follow‑ups to ensure alignment and execution.

  • Ability to be flexible with timing of support.

Professional Qualifications & Experience

EDUCATION

  • Degree or Diploma in Administration, Communications, or related field

EXPERIENCE

  • 5+ years of experience as an executive assistant or supporting a leadership position
  • Experience working with Senior Management and other leadership and management members in a corporate environment

SKILLS

  • Experience with Microsoft Dynamics CRM, Concur and Newforma is an asset

  • Excellent written communication skills

  • Must have an innate sense of responsibility, integrity, and judgment with respect to handling confidential information at the highest level

  • Exude exemplary level of professionalism, presence and work ethic.

  • Ability to work in a constantly changing and a fast-paced environment

  • Ability to approach work in a collaborative manner, with a positive outlook, taking into account dependencies of components being worked on by other members; skilled at navigating competing and multiple projects/priorities to conclusion on time

  • Outstanding interpersonal skills

  • Strong critical thinking ability
