Summary:
Under the direction of the Manager of Materials, the Procurement Administrative Coordinator provides administrative, analytical, and coordination support to the Procurement team. This role is responsible for maintaining accurate supplier data, supporting supplier performance monitoring, and facilitating timely communication between vendors, buyers, and internal stakeholders. The position plays an important role in ensuring data integrity, supporting supplier performance management, and contributing to continuous improvement within procurement processes.
Responsibilities:
Key Responsibilities will include:

Request, collect, and maintain required documentation from approved vendors (e.g., compliance documentation, certifications, SDS, agreements).

Enter, validate, and maintain supplier pricing information within the price tracking database.
-
Coordinate with Buyers to ensure supplier records and pricing data remain accurate and up to date.

Generate supplier scorecards and forecast reports on a monthly basis or as required.

Initiate, track, and follow up on vendor investigations related to customer complaints and quality issues.

Compile investigation results and performance data for inclusion in supplier performance scorecards.
-
Track, trend, and report on vendor change requests, ensuring timely visibility and resolution by both internal teams and suppliers.

Maintain organized records of supplier performance metrics, investigations, and corrective actions.
-
File and maintain procurement documentation (e.g., purchase orders original copies, batch release documents, supplier records).

Monitor procurement exception reports and follow up with appropriate stakeholders as needed.

Support continuous improvement initiatives by identifying trends, risks, and performance gaps

Perform other duties as assigned.
Qualifications & Experience Required:

1–3 years of administrative experience in a procurement, supply chain, or operations environment preferred.

Strong data entry, tracking, and reporting skills with high attention to detail.
-
Proficiency in Microsoft Excel and Power BI; experience with ERP systems is an asset.
-
Strong organizational, time management, with the ability to manage multiple priorities.
Excellent written and verbal communication skills when interacting with vendors and internal stakeholders.
Education, Certification, Licenses & Registrations:
- Post secondary education in Business Administration, Supply Chain, or a related field, or an equivalent combination of education and experience.

Physical Demands:

-Ability to lift and carry office supplies, files or small packages up to approximately 20 lbs (9kg)
-Occasional standing, walking, bending or reaching
-Visual acuity required for reading printed materials and viewing a computer screen
-Ability to communicate clearly in person, over the phone and in writing
