We are looking for a Senior Executive Assistant to partner closely with two members of our Executive Leadership Team, including the CEO. This role is critical in ensuring our executives remain focused, organized, and effective. You'll be the trusted point of contact, managing professional and personal priorities, and acting as an extension of your executives in every sense.
What you'll get the opportunity to do: Executive Support
- Provide complex calendar and scheduling management.
- Maintain and manage a shared to-do list with your executives, proactively tracking progress and accountability.
- Track, prepare, and submit expense reports.
- Coordinate and manage domestic and international travel logistics.
- Support recurring team meetings, including agenda preparation, deck creation, and high-level follow-ups.
- Provide project management support for initiatives such as company town halls and Board meeting deliverables.
- Build and maintain strong relationships with team members across all levels of the organization as well as key external stakeholders.
- Jump in on project support where needed, providing flexible and hands-on assistance.
Personal Support for the CEO
- Manage personal tasks and calendars, ensuring seamless coordination between professional and personal schedules.
- Book appointments, coordinate services, and support travel, event, and day-to-day logistics for the CEO.
- Manage and triage emails from both professional and personal addresses, flagging priorities and ensuring timely follow-up.
- Represent the CEO's preferences and style, using judgment to act as an extension of his decision-making and presence.
Organization and Team Contributions
- Plan and execute team off-sites and events (virtual and in-person) end-to-end.
- Partner with the Executive Assistant team to manage company-wide initiatives, including monthly in-office lunches and annual all-company events.
- Provide coverage for fellow EAs during vacations or absences.
- Identify and implement creative, detail-oriented solutions to improve administrative processes and executive effectiveness.
- Manage and maintain vendor relationships (e.g., company merchandise provider, caterers).
- If aligned with experience and team needs, manage and mentor other Executive Assistants.
What you'll bring to the team:
- 5+ years of experience supporting C-Suite executives in a fast-paced environment.
- A track record of super-diligence and attention to detail.
- Ability to anticipate needs, generate options, and go the extra mile in execution.
- Strong written and verbal communication skills, with discretion in managing sensitive and confidential information.
- Creative problem-solving and adaptability when navigating evolving priorities.
- Comfort with and adaptability to tools such as Google Workspace and Slack.
