Job Overview The Administrative Support role is responsible for providing high-quality administrative, logistical, and coordination support to the SAP S/4HANA Transformation team. This individual will ensure effective communication, documentation control, and scheduling across multiple workstreams in a fast-paced, multi-site environment. The position requires exceptional organization, attention to detail, confidentiality, and the ability to support a diverse team of executives, consultants, and project staff.
Key Responsibilities Administrative and Coordination Support
- Provide daily administrative assistance to the SAP Core team.
- Maintain and manage calendars, meeting schedules, and project-related travel logistics.
- Assist with the coordination of Steering Committee, PMO, and Change Management meetings - including agenda preparation, minute-taking, and action tracking.
- Manage meeting room bookings, video conferences, and collaboration tool setup (Teams, SharePoint, etc.).
Document and Communication Management
- Maintain centralized project documentation using SharePoint and Teams, ensuring version control and confidentiality.
- Prepare and format reports, presentations, and correspondence for internal and executive review.
- Track and distribute program communications, ensuring timely updates to stakeholders across sites.
- Support the development of newsletters, internal communications, and project bulletins for transformation updates.
Project Governance and Reporting
- Support the PMO in maintaining project registers (RAID logs, action trackers, change requests).
- Assist with compiling monthly progress reports, dashboards, and stage-gate packages for Steering Committee review.
- Track document approvals, sign-offs, and audit evidence for ITGC and compliance purposes.
- Monitor and update project milestone and deliverable trackers.
Financial and Vendor Administration
- Document purchase requisitions, track invoices, and support budget monitoring in collaboration with Finance.
- Coordinate onboarding for consultants, contractors, and vendor partners (e.g., SAP, Cognitus).
- Maintain records of contracts, SOWs, and timesheets as required by the PMO.
Confidential and Executive-Level Support
- Handle sensitive project, financial, and personnel information with discretion.
- Support executive-level correspondence, briefings, and high-level documentation for leadership review.
The Recipe For Success
- Diploma or degree in Business Administration, Office Management, or related field.
- 3–5 years of administrative experience supporting large-scale projects or PMOs (ERP transformation experience preferred).
- Experience working with consultants, vendors, and cross-functional leadership teams.
Technical Skills
- Proficient in Microsoft 365 Suite (Excel, PowerPoint, Word, Outlook, Teams).
- Experience with SharePoint document management.
- Familiarity with Power BI and Power Automate considered an asset.
- Experience using project tools (MS Project, JIRA, Monday.com, or SAP Activate) preferred.
